This position provides department assistance by performing a variety of duties, including scanning, data entry, copying, alphabetic and numeric sorting, retrieving documents and medical records, chart pick-up, and other tasks. It requires the ability to use a wide variety of office equipment including copy and fax machines, telephone, and PC. The role involves utilizing scanning functions to capture images of original documents in the Sanford patient medical record and transferring them to the data management system or Electronic Medical Record (EMR). Accuracy and quality are essential as the EMR becomes the patient's legal medical record for the organization. The technician utilizes a designated database for patient records to index and validate paper-based correspondence, electronic files, or scanned images. The database is a complete document management client-server application. The role indexes all forms by searching the database for the correct document type and assigning patient identifying information, and communicates invalid forms and document types to leadership for inclusion in the database and/or reprinting of the form. The technician uses the scanning software independently and can perform maintenance to equipment as needed. Extensive knowledge of medical record forms and content is used to perform quality checks on the scanned, indexed and validated documents. The role performs quality assurance activities at various workflow intervals to ensure high-quality image capture, and performs work in a timely manner with high attention to detail and accuracy. Work assignments vary based on workload demands and shift assignment. In a Health Information Management (HIM) setting, duties include preparing medical record documentation for scanning, locating, retrieving and routing records, using facility-specific software to determine record locations, locating medical records for user requests within specified timeframes, scanning or importing images into the data management system, and completing STAT fax workflows in a timely manner. In a Patient Financial Service (PFS) setting, duties include handling, receiving, sorting, and sending mail to the individual who will scan into the data management system, creating mailing labels, affixing labels to mail, and sending mail.
