The work assignment will be at the Public Works headquarters building, located at 900 S. Fremont Avenue, Alhambra, CA. This is a full‑time staff extension position.

Requirements

  • Minimum 5 years of document control experience in the construction field.
  • Must be proficient in using Microsoft Office software.
  • Must be detail oriented with effective organization and coordination skills.
  • Must have ability to interface and communicate effectively with others and have a positive attitude.
  • Experience with public agencies.
  • Experience in preparing and reviewing written correspondences for formatting, punctuation, grammar, etc.
  • Ability to work in a fast-paced environment and meet tight deadlines.
  • Ability to handle changing and increasing workload.
  • Proficient in Excel use and spreadsheets is a must.

Nice To Haves

  • Knowledge/use of Expedition/CM13 is a plus.
  • Experience with OneDrive and/or other digital platforms is a plus.
  • Knowledge/use of other Project Control Software is a plus, but not necessary.

Responsibilities

  • Assist Project Managers with preparation of change orders, notices to proceeds, requests for quotation (RFQs), Board letters, and general correspondence.
  • Support Project Managers in processing payment requests, change orders, submittals, and Requests for Information (RFIs).
  • Prepare meeting minutes, status updates, and maintain logs for payments, change orders, RFIs, and submittals.
  • Establish and maintain project document filing systems in accordance with County procedures.
  • Prepare and generate reports following established County procedures and standard forms.
  • Manage and organize all project documentation within the project management system, ensuring alignment with PW control software.
  • Enter and track project documentation including submittals, RFIs, pending change orders, approved change orders, notices to proceed, and invoices reviewed or prepared by Project Managers.
  • Maintain and update document control logs to ensure accurate project tracking.
  • Develop and maintain electronic filing systems for efficient document management.
  • Utilize Microsoft Word, Excel, and SharePoint/OneDrive for documentation, reporting, and collaboration.
  • Demonstrate flexibility and adaptability while supporting multiple projects simultaneously.
