About The Position

This position is responsible for: The incumbent creates and manages departmental documents, reports, and communications; maintains scheduling systems and coordinates internal and external meetings. The incumbent leads logistical planning and execution of divisional youth events, retreats, and special programs; collaborates with Corps officers and local leaders to ensure smooth event operations and manages registration systems and participant communications for events and programs. The incumbent oversees seasonal hiring for camp staff, including recruitment, onboarding, and compliance; administers camp registration systems, ensuring accurate data collection and reporting and travels to Camp Rappahannock during the summer season to provide on-site administrative support, assist with event coordination, and ensure operational excellence.

  • Ability to perform mathematical calculations
  • Ability to sort and file documents alphabetically and numerically
  • Ability to operate various general office equipment including a telephone, computer, adding machine, etc.
  • Ability and licensed to drive a vehicle.
  • Bachelor’s degree in Business Administration Communications, Education, or Nonprofit Management. or related field
  • Four yearsof administrative or program coordination experience, preferably in youth services, nonprofit organizations, or event planning
  • Valid State Driver’s License

Nice To Haves

  • familiarity with faith-based organizations or mission-driven environments is beneficial.

Responsibilities

  • Provide administrative support to the Youth Department, including managing communications, correspondence, and departmental information requests.
  • Schedule and coordinate meetings; maintain office supplies; and process incoming and outgoing mail and packages.
  • Respond to inquiries regarding Youth and Music Department operations, researching and resolving issues promptly and professionally.
  • Manage departmental correspondence and communications, ensuring accuracy and timeliness; prepare and distribute the monthly department newsletter.
  • In collaboration with the DYS/DCS, prepare Board agendas and maintain official minutes and files.
  • Coordinate meetings between candidates, professional associates, and the DCS while maintaining confidentiality.
