About The Position

PRIMARY PURPOSE: Coordinate the collection, auditing, and reporting of district Public Education Information Management System (PEIMS) data. Monitor data for all district schools, departments, and programs to ensure that the PEIMS Data Standard requirements for completeness, accuracy, and consistency are attained. QUALIFICATIONS: Education / Certification High School Diploma required Bachelor’s Degree preferred TASBO Certification preferred Special Knowledge / Skills Ability to maintain accurate and auditable records Ability to maintain confidentiality of student, staff, and district information Proficiency in the use of personal computer and software to develop spreadsheets, databases, and word processing (Microsoft Office and Google products), as well as extract PEIMS data as needed from the district’s accounting systems Ability to develop and maintain technical and training documentation Ability to meet established deadlines Extensive knowledge of PEIMS submissions, Student Attendance Accounting (SAAH) procedures, and Texas Education Data Standards (TEDS) Ability to set priorities, handle multiple assignments, and make competent decisions Strong organizational, communication and interpersonal skills Knowledge of district’s student information system (SIS) software, Skyward SMS Ability to interpret policy, procedures and data Experience Minimum five years of experience in school district administrative support position requiring data collecting and entering data and experience using computer systems Preferred experience with the Texas Student Data System (TSDS) and PEIMS data in a school district support position MAJOR RESPONSIBILITIES AND DUTIES: Records and Reports 1. Coordinate the collection, integration and formatting of all data required for TSDS PEIMS submissions and TSDS Core Collection submissions according to the Texas Education Data Standards (TEDS). 2. Work cooperatively with campus, business office and personnel office staff to collect, organize, and format data required to submit district PEIMS data according to State deadlines. 3. Run edits (errors), reports, and verification checks on data to ensure accuracy of information. 4. Distribute edits (errors) and reports to appropriate staff for analysis, correction, and verification. 5. Submit complete and accurate PEIMS data in Texas Education Agency (TEA)-prescribed format to Education Service Center (ESC) for processing. 6. Responsible for maintaining TSDS Unique ID, as well as review and analyze ET reports, compile and submit the TEA-required Enrollment Tracking data weekly. 7. Provide guidance to campuses regarding TEA-required Six Weeks Attendance Cycle reports according to the Student Attendance Accounting Handbook for audit purposes. 8. Create and disseminate information on behalf of the PEIMS/Student Information Department. 9. Verify data submitted to TEA and submit corrections in a timely manner. Training and Technical Support 10. Provide training and support to campuses, special population, and department staff who are responsible for gathering, reporting and processing PEIMS data. 11. Receive PEIMS-related information from ESC, TEA, and Skyward and disseminate to other staff in a timely manner, including updates to Texas Education Data Standards (TEDS). 12. Attend regional PEIMS workshops and disseminate information to appropriate staff. 13. Provide guidance and support to all SIS users at the district, campus and department levels with regard to PEIMS reporting. 14. Develop needed professional skills appropriate to job assignments. 15. Act as liaison for all PEIMS-related campus office clerical staff. Other 16. Comply with policies established by federal and state law, State Board of Education rule, and local board policy. 17. Demonstrate behavior that is professional, ethical, and responsible and serve as a role model for district staff. 18. Compile, maintain and file all physical and computerized reports, records and other documents required for possible future reference and audit. 19. Schedule grade reporting timelines and procedures. 20. Exemplary attendance is an essential job function 21. Perform other duties as assigned by immediate supervisor.
