About The Position

The Discipleship Administrative is a key member of the Discipleship Team, providing essential administrative and organizational support to the Discipleship Director and team. This role ensures smooth operation of discipleship ministries by managing data, coordinating events, and assisting with communication and logistics pertaining to the Discipleship Team, particularly the Small Group and Connection Teams. Ephesians 4:12 Model: “equip the saints for the work of ministry”.  Our primary responsibility is not to do the entire ministry, but to equip - train, lead, and develop - others for ministry that builds up the body of Christ.  All staff are responsible for equipping others in leadership.

Requirements

  • Bachelor’s degree or at least 2 years of administrative experience preferred.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Successfully pass a background check.
  • Ability to lift and carry 25 pounds or more as needed.

Responsibilities

  • Generate weekly and monthly reports from our Data Base, Ministry Platform.
  • Update, proof, and maintain discipleship documents including: Dream Team playbooks Ministry Training materials Small Group materials Board reports
  • Organizing and attending team meetings as scheduled
  • Assist the Discipleship Director with administrative oversight of the Small Group and Connection Dream Teams.
  • Respond to inquiries and provide information about small groups.
  • Enter small group submissions and room reservations into the database.
  • Schedule and assist with all small group ministry training events and gatherings.
  • Support small group leader gatherings and training events (registration, email communication, purchasing, printing, ordering food).
  • Assist with planning and execution of the Freedom Conference (registration, communication, volunteer scheduling, logistics).
  • Manage the small group leader onboarding process: receive applications, input data, and coordinate with directors.
  • Generate weekly, monthly, and quarterly reports from Ministry Platform, including Shepherding Reports for leaders.
  • Assist with Spring and Fall Small Group Kickoffs (materials, handouts, volunteer scheduling).
  • Maintain and update Small Group Ministry Dream Teams in Ministry Platform.
  • Generate weekly and monthly reports from Ministry Platform.
  • Order and print Dream Team supplies, food, and materials for weekend services.
  • Responsible for scheduling and entering all Connection ministry events and gatherings into Ministry Platform database.
  • Support Connection gatherings and training events (registration, communication, purchasing, printing, ordering supplies).
  • Print, order, and distribute materials for the Discover Purpose class.
  • Ensure Team Leaders receive new serve opportunities submitted through Discover Purpose or the website.
  • Respond to general inquiries about serving at Victory.
  • Maintain a consistent personal walk with God outside of church activities.
  • Participate in meetings and training to grow as a leader and individual.
  • Actively participate in a VFC small group, regularly attend VFC services, and faithfully tithe to VFC.
