About The Position

The Director, Oncology Operations provides leadership for operational, financial, administrative, and clinical aspects of the ROH Cancer Center. The incumbent is responsible for achieving outcomes in five major domains: operational management; financial and human resources (HR) management; strategy, practice development, and marketing; clinical, quality, and compliance oversight; and organizational leadership. The Director collaborates with physician leadership, marketing, planning, finance, HR, and other departments, as required. The Director demonstrates personal leadership through activities at the strategic and operational level that facilitate interdisciplinary support and program development for all oncology and infusion services within the organization.

Responsibilities

  • Works in collaboration with Regional One Health (ROH) leadership and Clinical Advisory Committee (CAC) to develop operational goals for oncology services.
  • Ensures efficient throughput for areas of responsibility in ambulatory and acute settings, including efficient, timely, and cost-effective medical care.
  • Accountable for collaboration with and ultimate outcomes of key ancillary support areas (e.g., pharmacy, laboratory, radiology) and business/administrative support areas (e.g., financial counseling, revenue cycle management, managed care) with impact on oncology service line performance.
  • Executes business plans to support oncology programs and services. Directs and organizes project assignments and teams; tracks progress; and reports status using project management skills.
  • Ensures the timely completion of credentialing and re-credentialing for current and prospective providers.
  • Proactively evaluates program operations for implementation of cost-effective quality and performance improvement changes. Manages the implementation of approved changes and evaluates outcomes. Meets or exceeds the highest standards mandated by any accrediting or regulatory agency, or as set by ROH and CAC leadership.
  • Accountable for the success of daily practice operations, including, but not limited to: Scheduling of staff and coordination of provider schedules. Triaging resources to assure timely quality care delivery. Resolving and/or escalating equipment, information systems, and facility problems. Coordinating clinical and administrative materials management to ensure appropriate supply stock maintained. Liaising between on-site ancillary department leadership to ensure continuity of care (e.g., pharmacy, lab, radiology). Responding to and resolving provider concerns regarding site-specific support needs, escalating as appropriate. Collaborating with other ROH departments to coordinate patient care, as required. Responding to on-site patient safety issues, escalating as necessary. Responding to and resolving (as appropriate) customer service issues.
  • Accountable for financial outcomes for oncology program services. Oversees development and submission of capital and operating budgets; manages expenses in relation to the established budget; monitors budget variances; and implements corrective action when necessary.
  • Collaborates in the gathering and assessment of data to rectify and justify operational expenses and revenues.
  • Identifies workforce implications of operational trends and collaboratively formulates cost-efficient and appropriate staffing levels.
  • In collaboration with HR, ensures that systems and processes are in place to: Recruit, hire, coach, and retain staff. Ensures that all staff members understand roles in accomplishing programmatic objectives. Responsible for goal setting and measurement, completion of employee performance evaluations, and all other HR programs. Leads department and cross-functional teams to resolve inter- and intra-departmental problems and to improve operational outcomes/initiatives. Responsible for administering disciplinary policies, as appropriate.
  • Develops and implements the operational, business, marketing, and facilities plans for oncology services and practices consistent with the mission and strategic goals under the direction of ROH and CAC.
  • Executes annual goals and objectives in accordance with defined organizational plan.
  • Analyzes trends in market demand and clinical practices; evaluates alternatives for appropriateness, short- and long-term impact, and cost consequences; maintains awareness of hospital and ancillary utilization trends; understands and quantifies community needs; familiar with payor trends and strategies; and presents recommendations considering key inputs to ROH and CAC leadership.
  • In coordination with the Vice President of Outpatient Oncology Services and other clinical leadership, leads the design, evaluation, and planning of facilities, equipment, supplies, and new products and services relating to oncology services.
  • Assesses proposed physician relationships and provides leadership with evaluation of costs and benefits of different structures.
  • Collaborates with business development on marketing initiatives. Interfaces effectively with the ROH marketing and business development teams on marketing efforts and internal and external communications.
  • Develops relationships within the community to enhance oncology services and represents oncology services center at requested community events, presentations, and meetings/forums.
  • Keeps current regarding advances in oncology services and management by attending seminars and meetings relative to job function.
  • Researches and, as appropriate, introduces new oncology care techniques and advanced technologies in oncology services.
  • Ensures effective and fiscally responsible oncology services formulary and department supply inventory are up-to-date and appropriately maintained.
  • Collaborates with nursing leadership to develop and implement oncology nursing standards and protocols to ensure the safest and highest quality patient care.
  • Responsible for the development, implementation, and monitoring of an effective quality program, which is reviewed and revised (as necessary) annually and promotes excellent patient outcomes.
  • Responsible for the development, maintenance, and administration of up-to-date department policies and procedures, which are reviewed and revised as necessary, and in accordance with ROH's policies.
  • Promotes and ensures patient satisfaction in all areas of patient care delivery and models a patient-first and customer service orientation.
  • Develops patient relations standards reflecting excellence and ensures all providers and staff are held accountable for adhering to these standards.
  • Collaborates with other ROH, CAC, and physician leaders to identify, reduce, and eliminate barriers that may negatively affect patient care and customer satisfaction.
  • Complies with and enforces safety procedures to maintain a safe environment for employees, patients, and visitors.
  • Demonstrates compliance with CAC all licensing, accrediting, certification, and/or legal requirements.
