About The Position

This position provides senior-level administrative and organizational support to the Chief Executive Officer and the Executive Team. This role serves as the administrative backbone to the executive office, ensuring effective administration, office infrastructure, and organizational coordination that enable the organization to operate efficiently and with excellence.

Requirements

  • 3+ years of experience in an executive support position.
  • Bachelor's degree preferred or equivalent work experience.
  • Must have above average interpersonal skills combined with the ability to be an effective communicator.
  • Ability to plan, organize and follow projects through to a successful conclusion is essential to success in this position.
  • Incumbent must be able to successfully complete multiple tasks while under the pressure of competing deadlines.
  • Must also be proficient in Microsoft Office including Excel, Word, PowerPoint, teams, and other office platforms.
  • Employee must have excellent oral and written communication skills, especially the ability to be a good listener and effectively communicate the mission and vision of BiG.
  • Ability to read, interpret, and communicate documents such as safety procedures and policy and procedure manuals.
  • Ability to write comprehensive reports and correspondence .
  • Must have the ability to calculate and apply concepts of basic business math.
  • Must also understand budgets and financial worksheets and how they apply to all areas of the operation.
  • Candidates should have the ability to solve practical problems.
  • Must have the ability to deal with problems involving several variables and different dynamics.
  • Must be able to multi-task and prioritize duties.
  • High attention to detail and ability to work independently.
  • Must possess above average interpersonal skills, including the ability to collaborate effectively with co-workers, Citizens, volunteers, and guests at all levels with BiG.

Responsibilities

  • Handle highly sensitive information (personnel, financial, and strategic) with absolute integrity and professional judgment.
  • Provide direct, high-level administrative support to the CEO, including calendar and meeting coordination, correspondence, and preparation of executive materials.
  • Support the Executive Team by serving as the primary point of contact for internal and external stakeholders on behalf of executives.
  • Coordinate Board-related logistics including meeting scheduling, materials distribution, and administrative follow-up, in partnership with executive leadership.
  • Oversee day-to-day administrative office functions, ensuring smooth and professional operations.
  • Manage office vendors, supplies, facilities coordination, and administrative contracts.
  • Maintain organizational administrative records, documentation, and internal systems.
  • Develop and maintain administrative processes that support organizational consistency and efficiency.
  • Facilitate administrative coordination across departments to support executive priorities and organizational alignment, tracking executive-level action items and assist with follow-through.
  • Provide administrative support to departments for organization-wide initiatives.
  • Assist in coordinating internal communications related to executive initiatives and organizational needs.
  • Assist with routine business tasks and provide extra hands-on support for various departmental needs as they arise.
  • Provide administrative and coordination support for executive-level projects and initiatives as assigned by the CEO.
  • Assist in preparing reports, presentations, and materials for leadership, board, and external stakeholders.
  • Support organizational initiatives that require cross-functional administrative coordination.
  • Researching, compiling, and analyzing data for special projects.
  • Track deliverables to ensure executive-led initiatives stay on schedule.
