Gannon University is seeking an experienced and detail-oriented Slate CRM Administrator to provide leadership and technical expertise in the management, optimization, and daily operation of the university’s Technolutions Slate CRM system. This position plays a key role in supporting all stages of the enrollment lifecycle—recruitment, communication, and admissions application processing—across undergraduate, graduate, and online programs. The Slate CRM Administrator will serve as the primary system administrator, ensuring the accuracy, functionality, and efficiency of the Slate environment. In addition to technical and strategic responsibilities, this role will include supervision of admissions processing staff and oversight of application workflow management, ensuring timely and accurate evaluation and decision processing for all applicants. The incumbent will be allowed to work remote given the nature of the work. The expectation would be to come to campus 2-3 times per month for various meetings etc. This will be mutually agreed upon between the incumbent and their supervisor.

Requirements

  • Bachelor’s degree in Information Systems, Data Analytics, Higher Education Administration, or a related field.
  • Minimum of 5 years of experience administering or managing Technolutions Slate CRM .
  • Demonstrated experience with admissions application processing and staff supervision in a higher education setting.
  • Strong technical, analytical, and project management skills.
  • Excellent communication, leadership, and organizational abilities.
  • Proven ability to manage multiple priorities in a fast-paced environment.

Nice To Haves

  • Experience working within higher education admissions or enrollment management.
  • Familiarity with SQL , APIs, and data integration with student information systems (e.g., Colleague).
  • Slate certification or advanced Technolutions training.

Responsibilities

  • System Administration & Maintenance Serve as the lead administrator for Technolutions Slate CRM , overseeing configuration, user access, and system functionality.
  • Ensure data integrity through ongoing audits, deduplication, and validation processes.
  • Monitor system performance, implement updates, and coordinate with Technolutions support and Gannon IT as needed.
  • Maintain compliance with institutional policies, FERPA , and data governance standards.
  • Ensure data integrity, configure and customize Slate to meet specific needs and workflows of different departments and users including form development, reports, workflows, rules, automation and portals.
  • Serve as main point of contact for system integration including but not limited to; Colleague, (via iData), Common Application, CAS , athletics recruitment platform (Teamworks C&R), and various enrollment vendors, EAB , Encoura, etc.
  • Admissions Application Processing & Supervision Oversee the entire admissions application processing cycle for all academic programs within Slate, from submission through decision. This includes oversight of the Associate Director of Enrollment Communications and the Enrollment Processing Center.
  • Supervise and provide leadership to admissions processing staff , ensuring accuracy, efficiency, and adherence to established timelines and procedures.
  • Establish and monitor standard operating procedures for data entry, document management, and application review workflows.
  • Collaborate with admissions counselors, graduate program directors, and academic departments to maintain consistent and equitable application processing standards.
  • Identify and implement process improvements to enhance operational efficiency, data quality, and applicant experience.
  • Train, mentor, and evaluate staff performance, fostering a culture of accuracy, collaboration, and continuous improvement.
  • Process Design & Optimization Design and maintain automated workflows, rules, and forms to streamline recruitment and admissions operations.
  • Collaborate with admissions, marketing, and IT to optimize Slate functionality in support of institutional goals.
  • Manage communication plans, events, and inquiry pipelines within Slate to ensure personalized and effective engagement.
  • Reporting & Analytics Develop and maintain reports, dashboards, and visual analytics to support strategic enrollment management decisions.
  • Provide timely and accurate data to leadership for forecasting, tracking key metrics, and meeting external reporting requirements.
  • Analyze trends in application volume, yield, and processing efficiency to inform decision-making.
  • Training, Support & Collaboration Serve as the primary resource and trainer for Slate users across the university.
  • Create and maintain user guides, documentation, and training materials.
  • Partner with IT, Institutional Research, and Marketing to ensure seamless data integration between Slate and other systems (e.g., Banner, PowerFAIDS).
  • Stay current with Technolutions updates, community best practices, and industry trends to ensure optimal use of Slate.
  • Actively participate and engage with university committees including Technology Advisory Committee ( TAC ) and subcommittee for Enterprise Apps and Solutions ( SEAS )
