A Brief Overview Manage the coordination of day-to-day physical operations of the headquarters building. Oversee the development and implementation on all facets of facilities management for the global offices. What you will do Oversee the operations/management functions including, but not limited to; routine and preventative building and system/equipment maintenance, general repair work, janitorial/custodial services, amenities and exterior ground maintenance for RGA Headquarter building(s). Effectively and efficiently develop analytical frameworks that assess and provide information that will optimize the efficient use of RGA’s Global Headquarters, enhancing value and ensuring consistent integration of solutions, while controlling expenses. Coordinate and communicate the strategic direction for RGA’s growth and expansion by partnering closely with senior management to align the office space strategy with business development plans. Leads the physical management team, including: Asset Manager, Building Engineers, Maintenance Supervisor, third party management team, and freight/mail services. Indirectly works and collaborates with the Legal Department, Security and Safety and RGA Representative/Chairperson for St. Louis Crisis Management Teams. Develop appropriate resources to deliver real estate solutions that promote collaboration and productivity. Responsible for financial performance and reporting, budgeting, tracking and scheduling management for all aspects of transactions and projects. Ability to make financial decisions with an understanding of the business and operations, its drivers and financial impact. Manage the development and administration of facilities strategy, policies and procedures to ensure a well-maintained, secure and pleasant working environment and a cost effective operation. Oversee and coordinate internal moves, ensuring a high level of internal customer satisfaction while adhering to corporate and facilities policies/procedures to ensure minimum disruption to core activities. Supervise project management duties for capital and remodeling projects. Coordinates with internal contacts, architects and general contractors, ensuring completed work is within the designated scope. Monitor and track expense variance. Manage negotiations and administration of vendor contracts and agreements; obtains quotes and bids; reviews, compares, and analyzes product services. Ensures vendors/contractors deliver a high level of service and meet all contract/agreements. Develops and manages the budget for all RGA Headquarter building expenses. Ensures tracking and explanation/documentation and reports variances to the Director. Proactive with directing all facilities-related purchasing functions, which includes office furniture, kitchen, restroom, café, fitness etc. supplies. Manage in conjunction with the Security team the Coordination of RGA’s Business Continuity and Disaster Recovery team to implement Security and Safety Programs for RGA (non-IT), which includes administering the security system, collaborating on the safety manual, administering evacuation and emergency/crisis procedures, and working with floor captains and deputies. Oversees all mailing service functions. Ensures efficient operations, adequate staffing and a high level of service to internal customers. Maintains working relationships with building’s management company, building contractors, furniture, building, café, fitness and office product suppliers, architects and all other vendors. Manage the selection of providers for services such as cleaning, HVAC, plumbing, safety, café, fitness and general contracting. Collaborates with internal associates and management in a proactive role, ensuring their physical work area needs are met and handle questions/inquires regarding building and safety issues. Oversee all RGA Headquarters Offsite Records Storage and Management to ensure that RGA is in compliant with laws and regulations stipulating the retention and protection of sensitive information. Manage best allocation and utilization of space and resources for reorganization, new buildings or leased space. Manage policies and regulations dealing with Facilities. Develop strategies directed at sustaining a Green (environmentally sensitive) initiative across the company. Monitor the system of regular building, equipment and grounds inspections to meet all federal, state and local requirements submitting all reports in a timely fashion. Maintain current drawings and engineering records describing RGA’s HQ departments, furniture, equipment and grounds. Assist Global Facilities and Global Security teams with projects, contracts, proposals and project management tasks, day-to-day global facilities requests, work orders and emails. Assists with development of Global Facilities and Global Security Resources with but not limited to, daily maintenance of filing system for leases and space plans for each global office, maintaining global directory and general correspondence filing system.

Requirements

  • Bachelor’s Degree, Business or related degree or equivalent work experience
  • 8+ years real estate or related experience
  • 5+ years supervisory/management experience
  • Intermediate Word, Excel and PowerPoint skills
  • Advanced ability to analyze and improve business processes
  • Advanced budget management skills. Proven ability to manage a multi-million dollar budget.
  • Advanced knowledge of facilities management and planning, administrative procedures and property management and maintenance.
  • Advanced knowledge of purchasing office furniture, building equipment/systems, office equipment, kitchen and restroom supplies
  • Knowledge of security systems and safety programs and applicable state and local regulations
  • Ability to quickly adapt to new methods, work under tight deadlines and stressful conditions
  • Advanced oral and written communication skills, demonstrating the ability to convey business terminology that is meaningful and well received
  • Advanced level of investigative, analytical and problem solving skills
  • Ability to work well within a team environment, participate in department/team projects and balance detail with departmental objectives
  • Ability to liaise with individuals across a wide variety of operational, functional and technical disciplines

Nice To Haves

  • Facilities Management Administrator (FMA) professional designation or similar facilities management certification
  • 5-10 years corporate facilities management experience
