About The Position

The Director, ACAC Events and Operations primary duties will be to execute the setup, staffing and logistics of events at the alumni center based on the needs of rental clients; manage the day-to-day operations of the facility, assure that policies and programs are planned, implemented and evaluated; prepare annual budgets and annual reports; and take a leadership role in the overall usage of the facilities.

Requirements

  • A minimum of four years' experience in progressively responsible positions in hospitality management with experience operating and managing a facility.
  • Must be willing to work nights and weekends throughout the year.
  • Must be able to work in a team atmosphere in a fast paced, volunteer driven, not-for-profit organization.
  • Bachelor's degree required. Degrees in hospitality, marketing or business administration are preferred.
  • This position is an in-person role and may work non-traditional hours based on event staffing needs.

Nice To Haves

  • Two years of supervisory experience strongly preferred.

Responsibilities

  • Coordinate, review and approve the specific details of client planned events through e-mail, telephone, correspondence, and providing walk-throughs and personal interviews.
  • Manage and evolve as needed a comprehensive event planning process utilizing software programs, coordinating with Alumni Association staff, and providing regular communications with rental clients.
  • Coordinate with Admissions to continue to execute the daily visitors program to provide appropriate setup, A/V usage and building staffing.
  • Identify, engage the services of, and monitor the performance of University of Illinois and outside vendors for catering, event services, and building and grounds maintenance.
  • Supervise and make recommendations regarding the appropriate building and ACAC event staffing structure. Assign personnel to carry out specific functions and monitors their performance.
  • Establishes training programs and direct training for staff, students, extra help, volunteers, and other persons in ACAC event hosting and building security and operations.
  • Provide appropriate staffing for and/or personally staff events held at the Alice Campbell Alumni Center.
  • Provide expertise/setup and make recommendations related to the technology needs of parties utilizing the facility.
  • Work closely with the UIAA finance/contract team to ensure invoicing and payment of event rentals is handling in a timely manner.
  • Coordinate the opening and closing of the facility, the enforcement of guest procedures, and maintaining regulatory compliance with municipal, county, state, and University requirements.
  • Supervise the Service Desk Specialist position and provide backup staffing for all functions of this role in their absence. This may include answering phones, checking voicemail, distributing requests received in general email account and Zendesk ticketing system, among other duties.
  • Work with appropriate vendors to ensure the proper maintenance, functionality, and upkeep of all building operations.
  • Oversee the Building Service Workers and work as a liaison with University of Illinois facilities and services for the maintenance and upkeep of the building.
  • Strategize and implement changes as needed to provide an excellent visitor experience both now and in the future.
  • Represents UIAA on the campus emergency preparedness team (Public Safety). Responsible for the campus Building Emergency Action Plan, maintaining the emergency plan, and conducting annual testing and training of all UIAA staff.
  • Performs other duties as directed by executive management or designee.
