About The Position

As a Diagnostic Imaging Scheduler, you’ll be the hub that connects patients, referring providers, insurance partners, and our cardiology team. You’ll ensure every diagnostic imaging visit is scheduled accurately, authorized properly, and documented in the EMR—so patients receive the right test at the right time, with zero surprises. What you’ll do Own scheduling for in‑office diagnostic testing—book, confirm, and adjust appointments to optimize every available slot. Monitor and distribute daily/weekly testing volume to fully utilize capacity across CHV locations. Adjust imaging schedules as directed to accommodate urgent add‑ons, provider changes, and equipment availability. Partner closely with Referral Coordinators to obtain and track referrals for all imaging visits across CHV. Coordinate and schedule all incoming imaging referrals, ensuring patients are on the right calendar with the right test. Proactively check imaging department schedules for add‑on appointments that require referrals or authorization. Serve as a cardiology representative to referring physician offices, insurance carriers, and patients—providing clear, professional communication. Collaborate with CHV Billing (Aegis) and the PSR department to ensure referrals and account details are complete. Support prior authorization workflows for in-office diagnostic testing across four office locations. Enter authorization numbers into the EMR accurately and promptly; obtain retro authorizations when needed. Protect patient privacy—maintain strict confidentiality and adhere to all HIPAA guidelines/regulations. Pitch in as needed with related administrative duties and “other duties as assigned.”

Requirements

  • High school diploma or GED.
  • 6+ months of experience in data entry or customer service.
  • Strong typing accuracy and the ability to navigate multiple systems simultaneously.

Nice To Haves

  • 6+ months working in an EMR (e.g., receiving patient records, working within shared folders).
  • Familiarity with ROI (Release of Information) and the ability to walk a patient through the process.
  • Receptionist / administrative support within healthcare/medical settings.
  • Customer service excellence—empathetic, clear, and solution‑oriented.
  • Data entry precision; comfort with 10‑key, phones, and multi-line systems.
  • Proficiency with Microsoft Office (Excel, Outlook, Word); general Microsoft and office technology fluency.
  • Detail‑driven, organized, and calm under pressure; strong follow‑through.
