About The Position

The Development Coordinator provides essential administrative and operational support to the Development team and Chief Development Officer to ensure accurate donor records, timely donor stewardship, and efficient fundraising operations. This entry-level role plays a critical part in maintaining the organization’s donor database, processing gifts, coordinating donor acknowledgements, supporting fundraising initiatives, and ensuring the Chief Development Officer and development team are equipped with accurate data and materials to advance donor relationships. This position is ideal for someone who is detail-oriented, highly organized, and interested in building a career in nonprofit fundraising and development. This position is a new position to the organization.

Requirements

  • Experience working with databases, CRM systems, or data entry (Bloomerang or similar preferred).

Responsibilities

  • Donor Database and Gift Processing Accurately enter and process all gifts, pledges, and donor information in the organization’s CRM system in a timely manner.
  • Maintain and update donor records, including contact information, giving history, and engagement notes.
  • Ensure data integrity through regular review, cleanup, and adherence to data entry standards.
  • Generate routine and ad hoc reports from the CRM to support development team strategy, tracking, and analysis.
  • Donor Stewardship and Acknowledgements Prepare and send timely and accurate donor acknowledgement letters and receipts in accordance with organizational standards and IRS requirements.
  • Support the coordination of donor stewardship processes to ensure donors receive consistent, meaningful recognition.
  • Assist in maintaining acknowledgment templates and processes for efficiency and consistency.
  • Fundraising Campaign and Appeal Support Assist in the coordination and execution of annual fundraising campaigns and appeals, such as Spring Appeal, End-of-Year Appeal, NWA Gives Day, and Giving Tuesday.
  • Support mailing list preparation, data segmentation, and quality control.
  • Coordinate printing, assembly, and mailing logistics as needed.
  • Help track appeal performance and response data within the CRM.
  • Administrative and Development Team Support Provide administrative and operational support to the Chief Development Officer and Development team to help advance fundraising priorities and donor engagement.
  • Prepare reports, donor lists, research summaries, and briefing materials for donor meetings, proposals, and leadership discussions.
  • Assist with scheduling, preparing materials, and tracking follow-up actions related to donor engagement and development activities.
  • Support the drafting, formatting, and preparation of donor proposals, correspondence, reports, and presentations.
  • Conduct donor and prospect research to support fundraising strategy and relationship management.
  • Maintain organized records, files, and documentation to support development operations and strategic fundraising efforts.
  • Support donor engagement activities, fundraising initiatives, and special projects as needed.
  • Help ensure development systems, workflows, and administrative processes operate efficiently and consistently.
  • General Development Operations Maintain organized digital files and documentation related to donor records and development activities.
  • Support ongoing improvements to development systems, processes, and workflows.
  • Participate in development team meetings and contribute to a collaborative team environment.
