Position Overview The Deposit Operations Specialist supports the daily operations of the Lockbox and Secure Logistics department, ensuring accurate transaction processing, vendor coordination, and compliance with regulatory standards. This role works closely with the department manager to execute operational tasks, maintain service levels, and contribute to a positive client experience.

Requirements

  • High School Diploma or equivalent
  • 2+ years of experience in financial services, courier coordination, or lockbox operations.
  • 2+ years of experience including New Accounts, Teller and “back office” operations
  • Demonstrates skills & knowledge necessary to provide basic & routine new account services
  • Knowledge in banking including general procedures, policies and regulations
  • Familiarity with regulatory compliance and secure handling procedures.
  • Strong attention to detail and organizational skills.
  • Effective communication and problem-solving abilities.
  • Experience with vendor coordination and service-level tracking.
  • Some travel is required
  • Professionalism in dealing with others
  • Strong organizational, problem-solving, time management and analytical skills
  • Versatility, flexibility and a willingness to work within constantly changing priorities
  • Discretion when handling confidential and/or sensitive information

Responsibilities

  • Process lockbox transactions in accordance with established SLAs and quality standards.
  • Assist in setting up new lockbox services, PO boxes, and client profiles within lockbox applications.
  • Monitor transaction volumes and escalate discrepancies or delays to the manager.
  • Support account analysis and fee tracking for lockbox services.
  • Coordinate internal courier routes and schedules, ensuring timely and secure delivery of items.
  • Assist with onboarding, maintenance, and closure of courier and armored car services.
  • Track vendor performance and escalate service issues or delays as needed.
  • Maintain accurate records of courier activity and service requests.
  • Follow departmental procedures to ensure compliance with regulatory timeframes and audit requirements.
  • Participate in periodic reviews and updates of operational policies and procedures.
  • Ensure proper callback and verification procedures are followed for sensitive transactions.
  • Respond to client inquiries and service requests related to lockbox and logistics operations.
  • Support resolution of client escalations in coordination with the manager.
  • Communicate with vendors to confirm service delivery and resolve operational issues.
  • Participate in annual Deposit Services projects and initiatives as assigned.
  • Identify opportunities for process improvements and cost-saving measures.
  • Works within authority limits to approve/process transactions
  • Cross functional in multiple processes to provide coverage to peers
  • Other operational duties as assigned
