Major Duties Under general supervision, The Department Coordinator provides administrative support to the Chair, coordinates departmental operations including the Schedule of Classes and faculty processes, maintains confidential personnel files, and serves as the primary departmental communication contact, ensuring compliance with university policies. Coordinates departmental operations and procedures related to the Schedule of Classes, personnel, payroll, and Human Resources. Supports faculty hiring, search and screen processes, and the retention, tenure, and promotion (RTP) process. Coordinates departmental communications, manages and maintains calendars and meeting logistics. Leads and coordinates the work of student assistants. Serves as the first point of contact for department inquiries. Performs other duties as assigned. Requirements

  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience.
  • Independent judgment, knowledge of university systems (SOLAR SA, HR, Financials, and e-Travel), and proficiency in Microsoft Office applications.
  • Comprehensive knowledge of administrative operations in an academic department, including coordination of scheduling, document management, and internal procedures.
  • Ability to interpret and apply university, college, and departmental policies, ensuring adherence to institutional and compliance standards.
  • Demonstrated skill in preparing, organizing, and maintaining accurate and confidential records, such as faculty evaluations, program review, and accreditation documentation.
  • Strong written and verbal communication skills with the ability to serve as a liaison between the department and administrative units such as the Dean’s Office and Faculty Affairs.
  • Ability to prioritize and coordinate multiple tasks while meeting strict deadlines in a dynamic environment.
  • Skilled in supporting academic personnel processes, including temporary faculty hiring and evaluation coordination.
