About The Position

The University of Louisville is seeking to hire a Department Coordinator II. The Department Coordinator provides comprehensive support for facility operations and event execution within the Swain Student Activities Center (SAC), The Red Barn, Miller Information Technology Center (MITC), and Strickler Auditorium. This position ensures a high-quality experience for clients and guests by executing event logistics, managing technical and audio-visual systems, and supervising student staff as needed. The Department Coordinator works closely with campus partners, ITS, and external vendors to maintain seamless operations, efficient equipment functionality, and exceptional customer service. This position also works with the Events team to support revenue generation by maximizing facility use and ensuring the delivery of outstanding service to external clients. This position offers an opportunity for the incumbent to gain hands-on experience in the overall management and administration of a 422,000-square-foot student union and provides a comprehensive perspective on student union operations inclusive of event management, staff supervision, and administrative responsibilities.

Requirements

  • High School Diploma/GED with two (2) years of related experience or an equivalent combination of education and experience.

Responsibilities

  • Event Operations Assists in delivering event services including participation in event services meetings and collaboration with the Events team to address and resolve client concerns
  • Collaborates within a group of department coordinators and with full-time staff to ensure adequate staffing for SAC and Welcome Week events
  • Executes daily facility operatives at the SAC, The Red Barn, MITC, and Strickler Auditorium; ensuring facilities are prepared for events according to departmental quality and safety standards
  • Serves as the primary service host for SAC and Red Barn users, providing a high level of service to ensure quality experience for department, student group, alumni association, and non-University customers resolving concerns promptly exercising a sense of urgency and a high standard of care so all client expectations are met, and event details are realized
  • Assists senior staff to ensure Bingham Humanities 101 and Strickler 101/102 are staffed on weekday evenings and throughout weekends to ensure AV equipment is operating efficiently before and after use and to provide AV assistance during events
  • Assists Senior Director to onboard, train, guide, and develop, and offboard student employees including participation in regular meetings, revision of staff manuals, and monitoring room set-ups including AV equipment
  • Coordinates student employee weekend scheduling and directly supervises student employees during weekend shifts and special events, ensuring high service standards are met
  • Creates, implements, and executes professional development programs for student employees
  • Creates daily event forecast charts for professional staff and student employees to plan setup and teardown tasks for all events, occurring up to seven days a week and spanning up to 16 hours a day
  • Intakes and addresses concerns from the University community relative to event services by way of structured inquiry and day-to-day consultative processes
  • Collects and analyzes employment data to identify trends and contribute to the development of and implementation of departmental strategies in order to retain and recruit employees
  • Coordinates planning for space use in Bigelow Hall and MITC for students, faculty, and staff
  • Manages coordination of student employee recruitment and selection committees and works with senior staff to ensure standardization and continuous improvement of student employee recruitment, selection, and placement processes with the goals of enhancing customer satisfaction, providing meaningful student employment experience, increasing job retention, and creating efficiencies to reduce costs
  • Attends campus administrative and organizational meetings, orientation programs, and workshops
  • Other Duties Assigned
