About The Position

The Department of Human Development [https://www.tc.columbia.edu/human-development/] is seeking a temporary Department Associate to support the Director of Academic Administration (DAA) in a fast paced, professional environment. The ideal candidate must be detail-oriented, comfortable with complexity and able to handle confidential information responsibly. They must be a team leader who can work independently with minimum direct supervision, but able to report to the Director regularly and completely. Reporting to the Director of Academic Administration, the part-time Department Associate will be responsible for various office-related tasks such as budgeting, HR-related hiring reappointments, managing scholarships among other tasks. The incumbent must be able to work up to 19 hours/week Monday through Thursday onsite in the department office on campus.

Requirements

  • Bachelor's degree or equivalent in years of experience
  • One year office experience
  • Excellent organizational, analytical, critical thinking, interpersonal, and communication skills
  • Willingness to take initiative
  • Flexibility - Ability to work with conflicting demands
  • Strong computer skills,(i.e. Microsoft Word, Excel, PowerPoint) as well as the ability to use web based technology.
  • Strong proofreading and grammar.

Nice To Haves

  • Familiarity with TC systems (Banner, Chrome River, PageUp)
  • Experience working in a higher education setting

Responsibilities

  • Budgeting: Review, update, and reconcile department and program budgets with DAA
  • Track index/account lines and submit budget change forms to cover payments and reimbursement as needed
  • Provide support to faculty in processing travel and conference related expense reimbursement (meals, membership, prof dev) using Chrome River and maintain and track budget for special indices (Grants, Provost Investment fund, Gift)
  • Review course schedule each semester and track student enrollment to pro rate salary as needed and tally course fees collected for each program.
  • Set up program budget spreadsheet each fiscal year and work with staff to record, maintain, and update report each semester.
  • Assist DAA to fill out budget related forms and follow ups
  • HR administration: Assist with processing electronic transaction for reappointment salaries
  • Assist with reviewing timesheet log for work study and interim positions
  • Serve as timesheet proxy
  • Assist in resolving Payroll related issues, as needed
  • Support DAA with other HR-related paperwork such as Personnel Action Forms, late timesheets and requisitions
  • Keep track of all data and personnel hiring information on spreadsheets
  • Be the point of contact for Adjunct instructor related inquiries
  • Other Duties as assigned
  • Office Administration: Provide in person faculty support (printing materials, unlocking offices, other minor tasks that they may need help with)
  • Assist with office management
  • Provide in person student assistance as needed
  • Answer general emails and questions in the shared email
