Under the supervision of the Operating Revenue, the Dental Billing Specialist utilizes established procedures to process insurance claims, monitor patient accounts in collections, and process insurance payments. Ability to keep several tasks moving along in a well-organized, compassionate, and professional manner while functioning at a high level of accuracy is critical.

Requirements

  • High school graduate or equivalent education.
  • Must possess knowledge of Practice Management and Electronic Dental Records.
  • Must be able to type 40WPM.
  • Must be familiar with dental terminology.
  • Demonstrates knowledge of office practices and procedures.
  • Demonstrates ability in the care and handling of patients in all groups, including but not limited to, consideration of the special needs and behaviors of each group.
  • Must be able to maintain a sympathetic and harmonious relationship with patients.
  • Strong interpersonal and communications skills required.

Nice To Haves

  • Knowledge of collection procedures and laws preferred.
  • Two (2) years of experience in a dental care setting preferred.

  • Collaborates with immediate supervisor and Clinic providers to establish, define, and refine department goals and objectives consistent with Aviva Health’s Mission and demonstrates satisfactory progress towards these goals and objectives.

  • Answers all telephone calls courteously, takes messages or transfers calls to appropriate person. Returns voice mail messages promptly.
  • Ensures discussions with visitors are as private as possible; is sensitive to and complies with HIPAA.
  • Counsels patients in regard to their account, the collection process, refusal to pay and payment plans in a respectful and courteous manner.
  • Maintains correct insurance information in accounts to ensures that billing information is current.
  • Responsible for explaining Clinic regulations such as documentation necessary to provide discounts, account balances, payment expectation. Answers questions regarding statements, financial sheets, and insurance coverage.
  • Verifies and calculates sliding scale discount eligibility. Prepares hardship waivers when necessary.
  • Monitors accounts in collection process for payments and/or payment plans.
  • Manages delinquent accounts in accordance with collection policies.
  • Processes commercial insurance encounters from previous day and insures proper coding.
  • Processes patient and insurance payments and prepares daily report.
  • Processes Medicaid encounters and transmits.
  • Reviews all claims for accuracy and readiness for billing.
  • Follows up by telephone and/or mail on accounts due from third party carriers and patient/guarantors on a timely basis in accordance with written procedures.
  • Other details as assigned.
  • Develops and maintains positive relationships with dental and medical professions in the community.
  • Maintains knowledge of and complies with OSHA requirements for the position.
  • Displays and high level of initiative, effort, and commitment towards completing assignments efficiently. Works with minimal supervision and demonstrates responsible behavior and attention to detail.
  • Maintains professional appearance, conforming to standards of dress and grooming as per company policy.
  • Must possess a strong service orientation and provide exceptional customer service under sometimes difficult circumstances.
  • Ability to handle a large volume of detail-oriented work in a sometimes-stressful environment.
