About The Position

Performs a variety of computer system operations and support functions for the student records systems for the entire district. Responsible for maintaining a variety of applications and programs based on student information systems or records. Work requires computer literacy and the ability to follow instructions necessary to input and transmit data. Work also includes the manipulation and analysis of information to produce meaningful reports from the collected data across the district which will then be submitted to the state. The primary purpose of this position is to input and maintain accurate data regarding the status of students as McKinney-Vento in the Homeless Module in PowerSchool. School attendance, demographics, enrollment, withdrawals, and other information required by federal law and state oversight will be tracked, cataloged, and reported. The position will also manage other types of information required by the district, state, and federal entities.

Requirements

  • Ability to communicate clearly orally as well as in written and electronic formats.
  • Ability to accurately enter and verify student information data.
  • Ability to use a computer or other electronic devices for the purpose of communication, data recording, location of information, and producing reports and memos.
  • Ability to read and follow directions.
  • Ability to use math skills to add, subtract, divide, and multiply and analyze data from various sources.
  • Ability to learn to use new computer programs to increase efficiency in data retrieval and analysis of student information.
  • Skilled in the use of Microsoft Excel, Word, and Outlook
  • Knowledge of using multiple computer programs to enter and retrieve data.
  • Knowledge of Family Educational Rights Privacy Act (FERPA) regulations and how they may apply to sharing student information with various stakeholders who may be requesting information.
  • Knowledge of common administrative tools and processes such as copiers, fax machines, scanners, phone systems, and email
  • Two years of college or technical school with computer operations coursework OR two years office/clerical experience OR two years of experience in a school setting with proven Excel proficiency.
  • Excel proficiency to be determined by assessment administered by WS/FCS.

Responsibilities

  • Maintain all student information for the Homeless Module in PowerSchool.
  • Manage additional tracking systems utilized by the district to ensure data compilation for needed state/district reports
  • Track information regarding student attendance, grades, enrollment, withdrawals, and other information to ensure program integrity.
  • Maintains accounting system for Project HOPE, completing purchase orders and reconciling all disbursements of funds in various grant line items.
  • Maintains inventory of supplies and materials, signs for receipts of materials and equipment
  • Communicate with staff from district schools using information obtained from the Student Information System.
  • Answer calls and emails regarding possible student eligibility for McKinney-Vento and related program and services information requests according to guidelines allowed under FERPA.
  • Compile files as requested for program, data, and service compliance.
  • Create and review various reports as requested through student information system (currently PowerSchool), to maintain and analyze data related to student success and needs.
  • Provide administrative assistance duties typically found in an office environment to include, but not limited to, answering phones, making copies, responding to emails, generating internal and external correspondence, interacting with staff, parents, and community members.
  • Develop and verify accuracy of reports based on student information systems to include, but not limited to reports for grades, attendance, enrollments, withdrawals, etc.
