About The Position

Incumbent performs a full range of clerical services and data entry to support Center Based Family Advocates/Center Family Support Managers for the entire Department of Early Childhood and Family Services.

Requirements

  • Education: High school diploma or GED or a combination of education/experience.
  • Experience: One to three years
  • Essential Mental Functions: Responsible only for own work. May explain work instructions to others but does not supervise others. Requires contact with others on routine matters (furnish or obtain information) within own department, and with other departments, customers, vendors, or the public. Usually supplies or seeks information where tact and courtesy are needed. Involves constant access to confidential information such as correspondence, quotations, salary schedules, financial summaries, monies, processes, etc. where discretion is essential to safeguard against disclosure or release. Normal mental, visual, and physical attention are required. Light mental concentration on repetative operations is required.
  • Regularly lift and/or move up to ten (10) pounds and frequently lift and/or move up to twenty five (25) pounds.
  • Ability to utilize computer software such as Microsoft Office Word, Excel, PowerPoint and internet software.

Responsibilities

  • Reviews Easy Trak Data Entry and documentation for Family Advocates in assigned centers.
  • Submits completed Family Advocate Support Report each month.
  • Assists with Quality File Reviews and One-file Folder Monitoring.
  • Mentors and coaches Family Advocates on Quality Documentation/Data Entry Easy Trak System.
  • Prepares program information, inputs data, copies, files, faxes, etc.
  • Provides clerical support, data entry, and tracking program requirements.
  • Establishes and facilitates the implementation of a filing and record keeping system for Family Advocates.
  • Works with Center Managers to develop a weekly support schedule/calendar for each center in the program.
  • Monitors, evaluates, and facilitates corrections of discrepancies in filing and record keeping system.
  • Maintains a binder or electronic file with a copy of internal/external written correspondence.
  • Verifies accuracy of information contained in applications for services in Easy Trak Database.
  • Supports keying client applications into the database reporting system.
  • Assists with the verification of intake applications-Verification Team.
  • Monitors Easy Trak data for intake applications’ accuracy and enters missing information as needed.
  • Monitors Easy Trak for missing attendance.
  • Enters missing attendance into Easy Trak.
  • Trains family advocates on attendance and documentation.
  • Assists Family Advocates in entering caseload requirements into Easy Trak.
  • Performs other duties as assigned.
