About The Position

The Data and Records Specialist advances Principia by managing the collection, storage, maintenance, and reporting of Advancement data within CRM Advance across all Advancement offices, while establishing and upholding standards that ensure accuracy and consistency. Reporting to the Data and Records Manager, this role plays a critical part in safeguarding data integrity, coordinating data entry processes, and supporting project-related initiatives that enable reliable reporting and efficient operations. The Data and Records Specialist collaborates closely with Advancement Services staff and other Advancement stakeholders to ensure seamless, cross-functional data operations and shared accountability for data quality. Success in this role draws on strong data management expertise, exceptional attention to detail, policy and process development, project coordination skills, collaborative communication, and a commitment to accuracy, efficiency, and service. Requirements

  • Student of Christian Science preferred

  • Bachelor’s degree or demonstrated equivalent experience
  • Three years of experience with data entry, verification, and data management required
  • Strong computer skills, including proficiency with Microsoft Office applications
  • Experience with Microsoft Dynamics CRM or a comparable database system

Responsibilities

  • Executes accurate and complete data collection, entry, and maintenance of all people and non-people in the CRM Advance system and perform occasional entry in Banner
  • Reviews the accuracy of data entry performed by Advancement staff
  • Coordinates with Advancement Services staff on records-related tasks and cross-training
  • Coordinates with ASG to ensure timely transfer of required data and information
  • Monitors and manages coordination with cross-functional partners to resolve data integrity issues caused by multi-system and synchronization deficiencies
  • Monitors system sweeper reports to identify multi-system data synchronization issues
  • Performs dual-system entry as needed until synchronization issues are resolved
  • Maintains strict security and confidentiality of data, files, and records
  • Manages timely record updates for all current employees related to School and College messenger emergency alerts
  • Reviews data management, including training and policy adherence
  • Delivers CRM Advance system training for Person records
  • Serves on Advancement Services teams supporting reporting and testing initiatives, including process improvements, CRM Advance forms and version upgrades, geo region mapping projects, and data conversion efforts
  • Manages quarterly National Change of Address processing to maintain and update Principia records
  • Defines testing scope and completes all CRM Advance -related general person and database upgrade testing
  • Collaborate with Advancement Services managers to ensure effective coordination of gift and donor-related records
  • Conducts data analysis and user acceptance testing as requested by technical staff
  • Monitors electronic update request emails and responds to in a timely manner
  • Attends Advancement department activities and events as needed
