About The Position

Customer Service Manager Stone Security LLC, a BearCom company, is a fast-growing security integration company. We're looking for a highly organized, detail-oriented, and proactive Customer Service Manager to join our team and help keep our operations running smoothly. Job Summary As a Customer Service Manager, you will play a key role in ensuring the day-to-day administrative and operational functions of our office are efficient and well-managed. You will serve as a critical liaison for customer service coordination, warehouse operations, and administrative support.

Requirements

  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Excellent written and verbal communication skills
  • Exceptional organizational skills and attention to detail
  • Strong time management and multitasking abilities
  • Ability to work independently and collaboratively in a fast-paced environment
  • Ability to lift up to 30 lbs

  • Previous experience in customer service, warehouse operations, or office administration
  • Familiarity with government contracting or municipal client management

Responsibilities

  • Monitor and respond to City of Phoenix incoming emails and communications
  • Assist in service management, dispatch coordination, and on-call scheduling
  • Create and manage PM (Preventive Maintenance) and service work orders
  • Follow up on service activities, create detailed tech notes in NetSuite, and deliver documentation to City of Phoenix
  • Manage the opening, tracking, and closing of service tickets
  • Process billing for City of Phoenix service activities
  • Handle RMA (Return Merchandise Authorization) processes
  • Greet and assist incoming customers in a professional manner
  • Receive and process incoming shipments and orders
  • Maintain a highly organized warehouse space and inventory system
  • Stage and pick materials for installation and service projects
  • Complete order fulfillment from the warehouse
  • Track materials for service jobs and initiate material orders as needed
  • Monitor incoming installation purchase orders from City of Phoenix
  • Manage general office administration, including office supplies and equipment
  • Submit and pick up permits as required
  • Manage local license tracking and renewals
  • Schedule and coordinate conference room usage
  • Create and manage spreadsheets and perform data entry as needed
  • Assist with company events and special projects
  • Support management and team with administrative tasks as needed
  • Other duties as assigned
