About The Position

Hennepin County District Court invites qualified applicants for a Court Operations Associate position assigned to the Civil Division- Conciliation Court. Conciliation Court also known as small claims court, handles civil cases involving claims of $20,000 or less. Conciliation Court Operations Associates work individually and in teams using independent judgment along with available resources to perform a variety of administrative assignments that require dedication to providing excellent customer service, strong attention to detail, and technological skills to match our fast-paced, high-volume, electronic environment. This AFSCME-represented position is classified as Court Operations Associate. Conciliation Court is located on the third floor of the Hennepin County Government Center at 300 South 6th Street, C-300, Minneapolis, MN 55487. Core business hours are 8:00 a.m.-4:30 p.m., Monday-Friday, but hours may vary depending on business needs. Staff in this position work primarily onsite. The relative amount of onsite versus remote work may change depending on business needs. Training is done onsite. Limited remote work opportunities are available to trained staff, depending on business needs. A reliable internet connection will be required if working remotely.

Requirements

  • High school diploma or equivalent, and one (1) year of relevant job experience OR equivalent amount of post-high school education and experience totaling one year.
  • Examples of relevant job experience: customer service, administrative work, office, and clerical work.
  • Effective customer service and interpersonal skills, with the ability to de-escalate difficult customer interactions and work respectfully with people from diverse backgrounds.
  • Team-oriented, with a positive attitude and the ability to establish and maintain respectful, effective relationships.
  • Ability to communicate effectively both verbally and in writing with court staff, court partners, judicial officers, and the general public.
  • Ability to work well under pressure in a high-volume fast-paced work environment with excellent attention to detail and accuracy.
  • Ability to transition from one assignment to another with ease.
  • Reliable, with the ability to meet commitments, organize work and keep projects on task.
  • Demonstrated ability to be flexible and adaptable to change, with the ability to learn and apply new material and concepts.
  • Experience using Microsoft Office, Adobe Acrobat, or other electronic document applications, with the ability to learn other job-related software.

Nice To Haves

  • Knowledge and working experience with Minnesota case management system (MNCIS), eFile and Serve (eFS) and SharePoint.
  • Courtroom experience.
  • Proficient in Microsoft Office Suite, with the ability to learn other job-related software.
  • Experience with electronic document applications, workflow queues and web-based video and audio platforms.
  • Experience exercising independent judgment to perform a variety of tasks in a professional manner.

Responsibilities

  • Complete administrative work in an office and courtroom environment by performing high-level clerical case processing, data entry, and financial transaction entry utilizing court technology systems.
  • Provide basic customer assistance for other civil departments as needed to ensure adequate office coverage and team goals are achieved.
  • Provides assistance to attorneys, parties, self-represented litigants, judges, and the public by responding to a variety of questions in-person, over the phone, by mail, and/or electronically; provides forms, documents, and court procedure information; assists public in filling out various applications and forms; checks people in for court; refers new or complex questions to higher level staff.
  • Review legal documents submitted for timeliness, completeness, accuracy, and statutory compliance. Determine processing required and takes necessary action in accordance with court rules and procedures.
  • Review documents for appropriate security classification. Maintain court record confidentiality in compliance with statutes and court rules.
  • Provide courtroom support by working and corresponding with judicial officers, court reporters, justice partners, and court customers to effectively manage court calendars and meet the business needs of the court.
  • Coordinate, communicate, and collaborate with team members to ensure daily work assignments and case processing are completed efficiently and accurately.
  • Review and process all filings for timeliness, statutory compliance, and proper document security as required by local and courtwide policies and procedures.
