About The Position

Hennepin County District Court invites qualified applicants for a Court Operations Associate position assigned to the Civil Division- Civil Filing Department. Civil Filing handles a variety of civil cases including name change applications, implied consent and forfeiture cases, contract disputes, property claims, personal injury and product liability cases, minor settlements and more. Civil Filing Court Operations Associates perform a variety of administrative assignments, both independently and as part of a team, using sound judgment and available resources. The role requires a commitment to excellent customer service, strong attention to detail, and proficiency with technology to thrive in a fast-paced, high-volume electronic environment. This AFSCME-represented position is classified as Court Operations Associate. Civil Filing is located on the third floor of the Hennepin County Government Center at 300 South 6th Street, C-300, Minneapolis, MN 55487. Core business hours are 8:00 a.m.-4:30 p.m., Monday-Friday, but hours may vary depending on business needs. Staff in this position work primarily onsite. The relative amount of onsite versus remote work may change depending on business needs. Training is done onsite. Limited remote work opportunities are available to trained staff, depending on business needs. A reliable internet connection will be required if working remotely.

Requirements

  • High school diploma or equivalent, and one (1) year of relevant job experience OR equivalent amount of post-high school education and experience totaling one year.
  • Examples of relevant job experience: customer service, administrative work, office, and clerical work.
  • Experience using Microsoft Office, Adobe Acrobat, or other electronic document applications, with the ability to learn other job-related software.
  • Ability to work well under pressure in a high-volume fast-paced work environment with excellent attention to detail and accuracy.
  • Effective customer service and interpersonal skills, with the ability to de-escalate difficult customer interactions and work respectfully with people from diverse backgrounds.
  • Reliable, with the ability to meet commitments, organize work and keep projects on task.
  • Ability to communicate effectively both verbally and in writing with court staff, court partners, judicial officers, and the public .
  • Team-oriented, with a positive attitude and the ability to establish and maintain respectful, effective relationships.
  • Demonstrated ability to be flexible and adaptable to change, with the ability to learn and apply new material and concepts.
  • Ability to transition from one assignment to another with ease.

Nice To Haves

  • Knowledge and working experience with Minnesota case management system (MNCIS), eFile and Serve (eFS) and SharePoint.
  • Proficient in Microsoft Office Suite, with the ability to learn other job-related software.
  • Experience working independently and as part of a team to achieve desired results.
  • Experience exercising independent judgment to perform a variety of tasks in a professional manner.
  • Experience with electronic document applications, workflow queues and web-based video and audio platforms.
  • Courtroom experience.

Responsibilities

  • Perform administrative work in both office and courtroom settings, including advanced clerical case processing, data entry, and financial transaction entry using multiple court technology systems.
  • Review filings for timeliness, completeness, proper document security, and statutory compliance.
  • Determine the appropriate processing steps based on local and statewide policies and procedures and take necessary actions to maintain accurate court records in accordance with applicable rules and statutes.
  • Provide court information, procedure assistance and appropriate resources to internal and external court customers by responding to inquiries and requests in person, by phone, in writing, and electronically.
  • Coordinate and collaborate with team members to ensure daily work assignments and case processing are completed accurately, efficiently, and in alignment with division goals and established processing standards.
  • Provide operational support across all Civil Division lines of business by assisting other civil departments as needed to ensure adequate office coverage and meet workload demands.
  • Provide courtroom support by communicating effectively and promptly with judicial officers, court reporters, justice partners, and court customers to manage court calendars and meet the operational needs of the court.
