About The Position

Under direction of the Corporate Travel Supervisor, this individual is responsible for administrative and travel support and also assists with projects as it relates to corporate travel operations. Assists in developing Project Plans, working with the Travel Supervisor along with key stakeholders to record detailed requirements, constraints and assumptions to establish project deliverables. The role is a part of the Corporate Travel & Event Management department, which is a function of Corporate Services providing logistical travel and event planning support across the entire organization. This role interacts with internal stakeholders within Procurement Operations, Accounts Payable, Human Resources, Commercial Credit Card Product Team, and Technology divisions. Externally, the position interacts with third party travel and expense suppliers such as the Bank's travel management company, travel and expense booking tool supplier and various hotel, car and airline representatives.

Requirements

  • Bachelor's degree and a minimum of 1 years' work experience, or in lieu of a degree, a combined minimum of 5 years' higher education and/or work experience, including a minimum of 1 years' work experience
  • Competency with computers, including word processing and spreadsheet software.
  • Clear and professional written communications (mail, memos, e-mail).
  • Excellent problem-solving and organizational skills
  • Experience managing multiple tasks and prioritizing assignments
  • Experience working independently and as an effective team player

Nice To Haves

  • Bachelor's degree in travel/hospitality industry or related field (i.e. Business Administration, Marketing, Communications, Public Relations, etc.)
  • 2 years of experience as a Receptionist, Secretary, Executive Assistant, or in Corporate Hospitality.
  • Previous travel and/or event planning experience
  • Corporate Managed Travel programs experience
  • Online Tavel Booking Tools experience

Responsibilities

  • Administrative duties to include invoicing, scheduling meetings with outside vendors, reporting, and organizing files.
  • Supports employees assisting with answering travel questions and Concur functionality.
  • Respond to travel and event policy and/or billing Inquiries and assist with the resolution of such inquiries.
  • Identify and execute internal travel program-related process improvements
  • Support the annual Request for Proposal (RFP) process for hotels.
  • Serve as backup for reporting and messaging in Cvent and Concur.
  • Contribute to communication channel updates such as the division's Intranet, newsletter, and email communications as requested by management.
  • May occasionally provide cross functional support to the Events team by assisting on the Executive Floors of M&T Plaza (19th and 20th).
  • Assist with the development of presentations as needed.
  • Participate in product training as required.
  • Communicate regularly with management on the status of initiatives in a professional and understandable manner.
  • Understand and adhere to the Company's risk and regulatory standards, policies and controls in accordance with the Company's Risk Appetite. Identify risk-related issues needing escalation to management.
  • Promote an environment that supports belonging and reflects the M&T Bank brand.
  • Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.
  • Complete other related duties as assigned.
