About The Position

The Corporate Paralegal will provide comprehensive legal and administrative support to the Legal Department and serve as a key point of coordination for corporate filings, litigation support, and internal communication. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities, as well as a portfolio of 200+ subsidiaries in a fast-paced environment.

  • Excellent written and verbal communication skills.
  • Experience drafting professional correspondence.
  • Proficiency in Microsoft Office Suite and document management systems.

  • Familiarity with litigation processes, calendaring, and legal terminology preferred.

Responsibilities

  • Prepare, file, and track Secretary of State submissions, including annual and biennial reports, amendments, and other required corporate filings.
  • Manage and process fictitious business name (FBN) statements and renewals across applicable jurisdictions.
  • Maintain and organize corporate records, entity documents, and compliance calendars.
  • Calendar all litigation deadlines, court hearings, conferences, and other critical dates for internal and external counsel.
  • Distribute and organize incoming legal documents received via the registered agent portal, email, and mail. Draft and submit notice to clients invoking contractual indemnification rights.
  • Assist with drafting and preparing routine correspondence, letters, and document transmittals to internal stakeholders and outside counsel.
  • Support litigation preparation as needed, including facilitating legal holds, organizing discovery materials, reviewing records, and assisting attorneys as needed.
  • Maintain physical and electronic filing systems to ensure accuracy, accessibility, and organization of all legal records.
  • Coordinate with internal departments and external partners to gather information and ensure timely completion of legal requirements.
  • Assist with special projects, research tasks, and one-off assignments as directed by the Corporate Paralegal Manager or Legal Department leadership.
