About The Position

The Corporate Administrative Coordinator supports two executive team personnel and their corresponding work teams. The coordinator will report directly to the Chief Operating Officer of the organization’s trade association while also performing executive-level administrative responsibilities for the organization’s Chief Financial Officer. The role is responsible for delivering high quality administrative services that enhance overall office efficiency. The ideal candidate is highly organized, an effective communicator, and capable of managing multiple priorities in a fast-paced environment.

Requirements

  • Associates degree from an accredited college required. Bachelor’s degree preferred.
  • Previous administrative support of senior management required.
  • Minimum of eight years of administrative support experience required with two of those years supporting senior management.
  • Must have overall understanding of budgeting processes and office administrative procedures.
  • Intermediate to Advanced knowledge of Microsoft Office Suite, including ability to support PowerPoint formatting needs.
  • Strong organizational skills and attention to detail with excellent time management abilities.
  • Excellent written and verbal communication skills coupled with a welcoming, cooperative, and supportive demeanor.
  • Ability to establish and maintain effective working relationships with executives, coworkers and cooperative members.
  • Initiative to complete tasks and identify areas for improvement often before being prompted.
  • Strong technical aptitude and a proactive mindset for identifying efficiencies.
  • Discretion when handling confidential information.

Responsibilities

  • Dual responsibilities for NCAEC COO and CFO
  • Act as a strategic partner to COO of NCAEC and CFO, managing complex tasks and confidential information.
  • Manage executive calendars with shifting schedules and priorities.
  • Process invoices and expense reports.
  • Streamline workflow across Trade Association and Finance divisions.
  • Act as liaison with internal teams, member cooperatives and external partners, including sponsorship fulfillment.
  • Support executive response to member inquiries, needs and special requests.
  • Procure office supplies and other items as needed.
  • Manage board meeting materials and deadlines, proactively working across several departments to ensure materials are on time and presentation ready. This requires an understanding of business strategy and presentation sharpness.
  • Support department leaders with formatting needs.
  • Perform other duties as required or requested.
  • Support meetings and other functions with the North Carolina General Assembly and North Carolina’s Congressional delegation.
  • Attend select meetings and functions, representing North Carolina’s Electric Cooperatives in these high-impact settings.
  • Provide support to the event planning team as requested, including on-site attendance at events.
  • Coordinates activities related to the Human Connections Fund, a disaster relief fund activated after major storm events to provide relief to co-op employees who have experienced storm-related hardships. These activities include donation management, financial reporting, board meeting management and adherence to bylaws.
  • Coordinate the annual corporate budget process for the trade association.
  • Support meetings and other functions with external banking, audit and tax partners, as needed.
  • Assist with monthly, quarterly and annual finance-related compliance obligations.
  • Assist with the monthly distribution of internal financial information including financial statements and analysis.
