SUMMARY: The Corporate Administrative Assistant performs a variety of tasks related to support of Processing confidential documents and data related to Project security and clearances. This role will maintain confidential project documentation and logs and act as the primary administrative liaison between the project team and security vendors. During gaps in work this role will provide administrative support to our Integrated Construction Group (ICG), Corporate Resource Group (CRG), Integrated Marketing + Development Group (IM+D), and general office support. MINIMUM QUALIFICATIONS: Associates degree or related experience Minimum of three (3) years of administrative support or customer service experience Ability to learn new software quickly Graphics and presentation program experience a plus A valid driver’s license TECHNICAL JOB KNOWLEDGE: Generates, reviews, and distributes key statistics and reports Coordinates and validates billing for Verizon, ISPs, UBT (copy/print), AmEx purchases, and performs reconciliation and prepaid notation clean-up; AMEX purchase coordination Assists with the loaner vehicle program including check-ins / outs, inspections, maintenance coordination, driver documentation, and vehicle retrieval Supports department events, and coordinates meals for meetings and internal groups Monitors security compliance training, AED inspections, and tracks USGBC certifications and sustainability metrics for projects Compiles reports for Business Solutions; supports Microsoft Office 365 security monitoring and tracks incident statistics Sends department-wide birthday and anniversary congratulations, manages meeting invitations, and maintains email communications for PTO and report follow-ups Audits Toolwatch assignments, reviews asset fringe data, assists with Business Solutions product updates, and manages hardware and loaner device tracking Maintains accurate records by scanning, filing, and distributing documents; transcribes and organizes departmental materials and reports Manages project security documentation by receiving, safeguarding, and securely transmitting sensitive employee information containing PII, including applying appropriate encryption or password protection and coordinating timely delivery to government agencies or client security contacts CORE COMPETENCIES FOR THE ROLE: Autonomy + Accountability Work is prescribed and completed with partial autonomy Completes work with a limited degree of supervision Accountable for work within own role only, but work completed could impact immediate team Business Impact Impacts the quality, timeliness, and effectiveness of own team and teams that are closely related Recognizes how one's role contributes to the organization's goals Produces high-quality work that meets or exceeds expectations Talent Development Has no supervisory responsibilities Focuses on own professional development Attends training and workshops to support continuous learning Problem Solving + Resiliency Uses existing procedures to solve standard problems Analyzes information and standard practices to make judgments DAVIS CORE VALUES: TRUST Excellence in Service – Fulfilling our clients’ highest expectations Inclusion – Ensuring a culture of respect and acceptance, where all employees have a sense of purpose and belonging Integrity – Exhibiting honesty and fairness while holding ourselves accountable for our actions Building Relationships – Creating and maintaining strong partnerships through leadership, creative solutions and hard work
