About The Position

Center of Reentry Excellence(CORE) Office Manager The Office Manager reports to the CORE Site Manager and is responsible for cultivating the CORE community – participants, partners, and staff, and ensuring smooth programmatic operations. As the site’s lead administrative support staff, the Office Manager is responsible for the supervision and development of other clerical staff and provides general oversight and support for various administrative functions including scheduling, record keeping, general reception, inventory monitoring, mailing, etc. The Office Manager must be knowledgeable and have experience working with or providing general administrative support to multi-disciplinary teams, multi-service centers, or similar collaborative service delivery environments. The Office Manager may at times be required to work evenings and on weekends. Alameda County residents and formerly incarcerated individuals are strongly encouraged to apply.

Requirements

  • Proven office management skills, including supersvision of direct reports.
  • Excellent organizational and multi-tasking skills.
  • Strong interpersonal, teamwork, oral and written communication skills.
  • Proficiency with MS Office 365, Salesforce and desktop publishing software required.
  • A valid CA driver's license, clear driving record and proof of current personal vehicle insurance is required for recurring errands in supprt of the office.

Responsibilities

  • Cultivate a welcoming environment and therapeutic learning community for staff, visitors and partners.
  • Oversee all lobby and reception services, including call management, message and mail routing and appointment management;
  • Manage the administrative activities of the office including data entry, file and document management, supportive service processing, invoice and expense reconciliation.
  • Monitor and coordinate the use of office areas and equipment, and other resources needed by the site for efficient and effective operations.
  • Maintaining positive working relationships with co-located providers, public safety government agencies, local stakeholders, and other users and beneficiaries of the office’s activities and services.
  • Effective onsite supervision and professional development of entry-level clerical roles including receptionists, volunteers, transitional employment and temporary workers supporting the site functions.
  • Ability to demonstrate a proficient understanding of Trauma Informed Care, Motivational Interviewing, Cultural Responsiveness, and Coaching.
  • Respond to programmatic challenges as they arise and communicate with contract partners (including Alameda County Probation Department, donors, and vendors) on the administrative activities of the office.
