Requirements

  • Any combination of education or experience equivalent to a high school diploma.
  • Minimum of one year experience in truck or automotive service and/or parts is preferred.
  • Previous experience in warranty service, data entry, journal billing, and payments preferred.
  • Researching and negotiating skills.
  • Effective verbal and written communication skills.
  • Proficiency in Microsoft office products.

Responsibilities

  • Interpret, verify, and process appropriate warranty claims for accurate and timely reimbursement of services and parts.
  • Review all repair orders for potential warranty impact.
  • Process warranty claims consistent with established procedure; may involve use of an outside vendor’s software.
  • Confirm that service provided on a given Repair Order is eligible for warranty coverage by reviewing the Vehicle Mileage, Date In-Service, Type of Failure, and Application of Extended Coverage.
  • Work with vendors on warranty issues and negotiate warranty policy; ensure warranty is properly administered.
  • Administer proper warranty allowable while maintaining the best interest of the company.
  • Review and interpret repair as provided by the servicing technician. May expand or consolidate repair description as necessary for clarity or brevity.
  • Eliminate warranty charge-backs.
  • Recover money charged to US Xpress by dealers and vendors for warrantable repairs.
  • Research and amend any charge-back, short-paid, or denied warranty claims.
  • Use established documentation to ensure accurate standard repair times (SRT) have been posted; confirm any discrepancies as precisely submitted on the preview sheet.
  • Review and confer with the shop technicians, supervisors, and managers on accuracy of claim data and possible additional claimable times, including proper posting and allocation of parts costs.
  • Communicate with parts personnel at terminals; ensure warranty parts are returned to the vendor when required.
  • Request invoices from repair centers and scan the invoice into warranty server once received.
  • Route and/or discuss claims to be processed with managers for assistance in filing.
  • Follow up and review processed claims assuring proper reimbursement.
  • Monitor, certify, and process warranty claim documents and extended coverage protection programs promptly.
  • Project a positive image with vendors and shops; refer unresolved concerns/problems to appropriate manager.
  • Coordinate distribution of scrap parts with designated shops.
  • Assist lease drivers with all inquiries.
  • Perform other duties as assigned.
