About The Position

The Intrepid Museum is currently seeking a Venue Sales & Events Coordinator. The Venue Sales & Events Coordinator is responsible for planning and managing third-party client events while actively generating event sales. This role combines administrative oversight with hands-on operational execution to ensure successful event delivery and revenue growth.

Requirements

  • BA/BS degree from an accredited college or university with one year related experience or training, or equivalent combination of education and experience.
  • Proficient computer knowledge and ability to organize and manage multiple tasks.
  • Write correspondence and reports and speak effectively before employees of organization.
  • Proficiency with Microsoft Office Suite.
  • Ability to liaise with a variety of technical and operational personnel.
  • Strong organizational skills and the ability to meet deadlines.
  • Ability to work independently as well as in a team.
  • Ability to work weekends, holidays and evenings as necessary

Responsibilities

  • Respond in a timely manner to event inquiries and convert them into confirmed bookings
  • Prepare proposals, conduct site visits and negotiate to book events
  • Execute contracts and invoices and collect payments in a timely manner
  • Proactively network within the events industry to drive referrals
  • Meet or exceed quarterly and annual sales revenue goals
  • Build and generate sales by attending industry meetings, networking events and client retention
  • Follow up with the client after the event
  • Develop a strong understanding of the complexity of various event types and the diverse needs of clients
  • Develop detailed event production notes to ensure successful execution.
  • Coordinate with all vendors
  • Provide onsite supervision of events
  • Direct and supervise staff in preparing spaces during special events load-in/set-up, event execution, and load-out/breakdown
  • Ensure compliance with venue policies
  • Determine and execute appropriate responses to problems and emergencies during events, handle customer complaints
  • Perform other duties as required by management
