About The Position

The Suzanne Deal Booth Institute for Heritage Preservation (SDBI) was founded within WMF in 2025 to serve as the strategic center for the organization's professional training and thought leadership. The SDBI has four key pillars of activity through which it will fulfill its mission: Academic Partnerships, Historic Trades Training, Professional Networks, and Impact Measurement. The SDBI is seeking a Coordinator to support its ongoing operations and the establishment of new activities made possible by recent funding. The position will report to the Senior Vice President of Global Preservation Strategy, who also serves as the Founding Director of the SDBI, to support its overall administration and daily operations. The Coordinator will also work closely with the Senior Director of Climate Adaptation in the regular administration of our historic gardens program, Cultivating Resilience. The successful candidate will be a proactive and detail-oriented individual with excellent organizational and communication skills. This position is remote.

Requirements

  • Bachelor's degree required (preferred major in Area Studies, Archaeology, Art History or International Affairs)
  • 2-3 years of experience in administration, project management or similar office environment
  • Computer fluency in Microsoft environment (Outlook, Word, Excel, and PowerPoint); basic accounting experience is desirable
  • Exceptional oral and written communication skills
  • Excellent interpersonal skills, including the ability to interact with international colleagues and develop effective working relationships with colleagues within the organization and beyond
  • Highly organized and detail oriented with a demonstrated ability to manage multiple priorities and projects and meet deadlines
  • Ability to work gracefully under pressure
  • Comfort working in an international environment

Nice To Haves

  • Graduate degree and familiarity with the heritage sector are a plus
  • Proficiency in another language is highly desirable

Responsibilities

  • Support the SVP of Global Preservation Strategy / Director of SDBI in the day-to-day operations and administration of the Suzanne Deal Booth Institute for Heritage Preservation (60% time)
  • Support the Senior Director of Climate Adaptation in the administration and operations of the Cultivating Resilience Program by taking the lead on contract and grant management (40% time)
  • Spearhead administrative activities and processes for the newly established SDBI, including file and data management, departmental calendar management, and budgetary planning and review
  • Serve as point person for all SDBI team members in the development, review, and approval of partner agreements, project contracts, and program reports
  • Cultivate close working relationships with colleagues in Field Projects department and facilitate regular, coordinated review of shared calendars, programmatic budgets, and strategic planning between the VP of Field Projects and the SVP of Global Preservation Strategy / Director of SDBI
  • Ensure efficient processing of contractor payments in coordination with Finance and Administration, tracking associated expenditures and cross-referencing invoice amounts and deliverables with executed contracts
  • Collaborate closely with colleagues in Development and Communications departments to support and facilitate interdepartmental information-sharing and coordination
  • Help track and coordinate activities such as team lectures, journal paper preparation and publication, and professional meetings
