About The Position

Birch Family Services is a leading provider of education, employment, and community support services for individuals with autism and developmental disabilities and their families in New York City. Every year, the organization supports more than 2,000 people across 31 locations in Manhattan, Queens, Brooklyn, and the Bronx. From preschool to graduation, employment, housing, and beyond; Birch Family Services provides fully integrated programs and services to support individuals in achieving their goals across their lifetime. This is an ancillary position that is an add-on to an existing Related Services position (ST, OT, PT, Psychology or Social Work). The role of the school-based RS Coordinator is to: 1) manage the provision of RS services, 2) oversee the schedules, utilization, and workload of RS providers; 3) ensure proper documentation of RS services; 4) provide support to RS providers; and 5) manage student internships.

Requirements

  • Education: Master’s Degree in Speech Pathology, Occupational Therapy, Physical Therapy, Psychology, Social Work or a related field
  • Experience: 2 years of experience in a special education setting
  • Certification/Licensure: Certification or Licensure in area of discipline

Responsibilities

  • Management of RS services
  • Determine, report, and address staffing needs, including the hiring of new staff and supervision as necessary
  • Maintain mandated related services data, including assigning of caseloads, provision of services, and productivity of providers. Including monitoring RS first attend dates, and ensuring notifications are made
  • Supervisor must ensure that SPEECH providers are registered with eMedNY and have received a Medicaid ID number.
  • Oversight of schedules, utilization, and workload of RS providers
  • Arrange schedules to maximize utilization of providers; ensuring that caseloads are equitably distributed.
  • Create and distribute a “No provider/No Services” letter to parents and district administrators within two weeks of students non-receipt of service.
  • Ensure UDO protocols and procedures are followed.
  • Collect, review and submit provider productivity logs
  • Easy Trac Monitoring
  • Manage and maintain information in the EasyTrac system. This includes but is not limited to:
  • Entering Staff Data- including license/certification, NPI, UDO information, email address, updating as necessary (or designating appropriate staff to complete this task)
  • Creating Medicaid Consent Documents (or designating appropriate staff to complete this task)
  • Inputting and uploading all necessary information and documents into the EasyTrac system (or designating appropriate staff to complete this task) including prescriptions, Medicaid consent, and UDO documentation.
  • Facilitate site-based Quality Improvement checks which include: monthly QAC’ing of session logs entry, Medicaid consent data entry, prescription data entry, and staff certification/licensing.
  • Ensuring prescriptions are on file for mandated services-
  • Speech ( by Speech Providers)-
  • Connecting with DOE physician referral program to schedule appointments for motor prescriptions
  • Support for RS Providers
  • Assigning supervisors of UDO’s and other providers that need supervision.
  • Scheduling and leading meetings to discuss RS status, issues, and ideas.
  • Assisting with family/parent concerns and questions.
  • Management of Student Internships
  • Assign student supervisors and ensure appropriate oversight of student interns.
  • Serve as point person for university program coordinators.
  • Contact university program coordinators to plan for student interns each semester.
  • Interact with Human Resources to ensure the onboarding of student interns in a timely fashion.
