About The Position

Job Summary: The Coordinator-Outpatient Services arranges patient care appointments for outpatient cardiac service departments licensed under Loma Linda University Children's Hospital (LLUCH), a Magnet Recognized tertiary academic Children's Hospital. Contributes to the smooth operations of the department by assisting department leadership and physicians in providing care that is patient-centered, user friendly, efficient and cost effective. Processes patient referrals, verifies insurance and co-payment, and schedules appointments in accordance with requirements of procedure or treatment ordered including time parameters, type of anesthesia needed (if any), pre-requisites to procedure or treatment, physician availability and block time, vendor support availability (if needed), anesthesiologists or certified registered nurse anesthetists (CRNA) and availability of required cardiac service staff. Ensures registration into system and coordinates continuity of care with pre and post procedure areas as needed. Supports department leadership with administrative duties which may include, but are not limited to, quality control and performance improvement initiatives, examination and procedure transcription, billing, maintenance and distribution of reports and digital images, chart completion checks. Exhibits behaviors that contribute to a highly motivated and high-performance team and displays professionalism in behavior, dress and conversation. Contributes to a work environment of caring and cooperation among a culturally diverse workforce and patient population. Utilizes effective interpersonal skills to maximize excellence in customer service and follows service excellence best practices to improve and maintain high patient, family and visitor satisfaction scores. Demonstrates solid service recovery methodologies and resolves issues expressed from dissatisfied customers. Performs other duties as needed.

Requirements

  • Able to type 40 wpm on a keyboard.
  • Knowledge of medical terminology required.
  • Able to accept direction, comprehend and follow-through with instructions; use computer, printer and software programs necessary to the position, e.g. Microsoft Office, Outlook, electronic event reporting program, electronic medical record.
  • Able to read; write and speak in English (and Spanish preferred) with professional quality; assemble, operate and troubleshoot machines and equipment utilized for position.
  • Able to relate and communicate positively, effectively, and professionally with others; be assertive and consistent in following policies; work calmly and respond courteously when under pressure; teach and collaborate; think critically, problem solve and use good judgment.
  • Able to perform basic math functions; manage multiple assignments; organize and prioritize workload; recall information with accuracy; pay close attention to detail.
  • Able to hear sufficiently for general conversation in person and on the telephone and identify and distinguish various sounds associated with the workplace; see adequately to read computer screens, and written documents necessary to the position.
  • Post high school education in secretarial sciences, business, or medical field preferred.
  • Minimum of one year of experience in a hospital, medical or physician practice setting as an administrative support staff or coordinator position required.

  • Medical Assistant Certification preferred.
