About The Position

Under general direction of the Vice President of Operations, the Coordinator of Stewardship will be instrumental in assisting with the delivery of superior experiences and benefit management for 12th Man Foundation donors who help the Foundation achieve its mission of funding scholarships, programs and facilities in support of championship athletics. To accomplish this job successfully, an individual must be able to perform, with or without reasonable accommodation, each essential function satisfactorily. Requirements

  • 1-2 years of experience in administration, event coordination or hospitality preferred
  • Bachelor’s degree and/or previous related experience
  • Proficient in all applications of Microsoft Office
  • Ability to commit to a structured weekly schedule and willingness to be flexible based on events requiring weekend, holiday, and evening hours
  • Ability to travel as needed to complete duties and responsibilities

Responsibilities

  • Event Support
  • Design and execute high-quality events ensuring a premium experience for all 12th Man Foundation donors and distinguished guests while managing all project delivery elements within time limits.
  • Includes coordination of invitation and registration processes, contract negotiations with vendors, assistance with the development of programming, preparing staff, day-of-set up, etc.
  • Maintain effective internal and external communications with all event stakeholders and vendors including sending calendar invites for each event.
  • Collaborate with Marketing and Communications to develop all event related materials including speeches, videos, invitations, programs, name tags, etc.
  • Implement, manage, and communicate a calendar that aligns with key donor engagement and recognition milestones for the 1922 Fund program.
  • Assist with the execution of high-quality travel packages associated with Texas A&M football regular and post-season road games, and other Texas A&M post-season athletic events as demand calls for, ensuring a premium experience for 12th Man Foundation donors.
  • Work collaboratively with diverse event professionals, vendors, staff members and donors.
  • Serve as main point of contact for all Student Member Events.
  • Maintain historical event plans, setup for applicable in-office meetings and events, and the ordering and inventory of event-related supplies.
  • Coordinate staff catering including but not limited to staff meetings, new employee orientation, office lunches, etc.
  • Assist in the planning and execution of all local Board of Trustee related events.
  • Manage the Noel Devin Memorial Scholarship application process and plan and execute the annual scholarship luncheon.
  • Manage the Sports Pass Scholarship application and recognition process.
  • Benefit Fulfillment:
  • Fulfillment of benefits for 1922 Fund and assist with Champions Council and Eppright benefit fulfilment.
  • Fulfillment of initial benefits for all annual giving programs Student Membership, Young Alumni, MVP, MVP Gold and All-American. Tasks include timely delivery of physical goods: decals, welcome packets, etc.
  • Lead and implement all annual donor recognition initiatives physical recognitions in the 12th Man Foundation office space and Eppright Distinguished Donors and 1922 Fund website listings, ensuring meticulous accuracy in donor name representation.
  • Regular review of 12th Man Foundation website and public listings of donor benefits.
  • Other Administrative Support
  • Help plan and adhere to the budget provided for all stewardship activities by efficiently projecting and tracking event expenses.
  • Work collaboratively with diverse event professionals, vendors, staff members and donors.
  • Assist with the development and update of administrative processes to make them more efficient, generation of mailing lists and preparation of related reports.
  • Maintain and produce accurate thank you notes that are prompt, personalized and acknowledge donor gifts, events and travel engagement and business partners.
  • Maintain a constant, high level of professionalism and confidentiality, representing the core competencies of Respect, Accuracy, Service and Excellence at all times.
  • Provide exceptional customer service to all members and foster relationships with donor groups.
  • Facilitate continuous improvement and participate in professional development activities.
  • Research and re-mail all returned stewardship mail.
  • Assist other staff members with tasks and responsibilities outside of primary job duties as organizational needs arise.
