About The Position

Wellan Montessori School seeks a highly organized and collaborative professional to serve in a dual-role position supporting both the Development and Auxiliary Programs departments, with a primary Auxiliary Programs focus of helping to coordinate the school's Summer Program. This position reports to the Director of Development and the Director of Auxiliary Programs. The Coordinator of Development and Auxiliary Programs plays a vital role in advancing the School's fundraising, community engagement, and auxiliary programming efforts. This individual ensures the integrity of donor systems and gift processing, supports strategic advancement initiatives, and coordinates high-quality events that strengthen relationships with parents, alumni, and friends of the School. In addition, the Coordinator supports the planning, communication, and daily logistics of the Summer Program at Wellan, along with support of other auxiliary programs (after school, enrichment, vacation, and athletic programs) as needed. The successful candidate will possess strong communication and interpersonal skills, be detail oriented, and self-motivated. They will be able to manage multiple priorities, be responsive to the changing needs of the administration, and will operate with a high level of discretion when working with sensitive matters and information.

Responsibilities

  • Plan and execute donor engagement events in collaboration with the development team, including coordination of venues, vendor relations, management of contracts, volunteer engagement, and the oversight of project timelines and budgets.
  • Manage event data and analytics for development events, overseeing RSVP systems, registration tracking, and the delivery of comprehensive post-event reporting.
  • Support administrative team in developing the annual school calendar and in monitoring and tracking constituent engagement, ensuring accurate attendance data and reporting for institutional events.
  • Handle the processing of gifts, pledges, and payments, ensuring all data is recorded accurately and on time, and ensure the swift turn around of donor acknowledgments.
  • Maintain the donor database and files, keeping information up-to-date and accurate while ensuring the strict confidentiality of all donor and school records.
  • Support the annual fund and campaign initiatives by generating reports and reconciling gift data with the Business Office as needed.
  • Assist the Director of Auxiliary Programs to plan and implement the Summer Program, including program design, scheduling, and the coordination of field trips, guests, and supplies.
  • Oversee daily operations and communications for the summer program, serving as the primary contact for families and drafting weekly updates to ensure a welcoming, organized, and smooth experience for the school community.
  • Assist the Director of Auxiliary Programs with the management of the summer staff, assisting with hiring, onboarding, and ensuring all medical forms, enrollment data, and daily coverage schedules are accurate and up-to-date.
  • Support other Auxiliary Program offerings as-needed, including after-school, enrichment, vacation, and athletic programs.
