About The Position

The Coordinator, Lifetime Support for Artists collaborates with the Lifetime Support for Artists team to oversee the day-to-day operations of alumni resources and activities for artists. These resources encompass artist funding, incubation and presentation of work, and artist sustainability programs. In particular, the Coordinator, Lifetime Support for Artists focuses on team administration including programmatic research, logistic support of programs, data tracking and management, budget tracking and management, grant management support, online alumni platform management, and communication support. This position must be available to support virtual and in-person programming at the Miami campus and travel for occasional events taking place nationally. The Coordinator, Lifetime Support for Artists works collaboratively with all team members to provide thoughtful artist services support, while meticulously executing strategies to welcome, organize, and connect the alumni community. Coordinator, Alumni Support reports to the Senior Director, Lifetime Support for Artists.

  • Bachelor’s degree or equivalent in education and experience.
  • 2+ years of administrative experience in the arts, philanthropic, non-profit, or higher-education organization preferred.
  • Experience beyond requirement will be considered in lieu of education requirement.

Responsibilities

  • Collaborate closely with People Operations and Finance and Operations departments to refine all contract, payment, and invoice processes on behalf of the Lifetime Support for Artists department and Partnerships and New Initiatives department.
  • In coordination with team members, execute invoices and contracts for the broader Artistic Programs team.
  • Collaborate with Lifetime Support for Artists team to develop and maintain processes that yield an accurate, detailed snapshot of departmental expenses through tracking and reconciliation of the budget.
  • Serve as one of the main points of contact for Artistic Programs’ independent contractors, awardees, and vendors to collect all necessary paperwork in a timely manner.
  • Collaborate closely with all departments to organize the season calendar and plan resource distribution opportunities and public-facing events.
  • Support the execution of donor deliverables associated with Lifetime Support.
  • Collaborate with Senior Director, Integrated Advancement to aggregate, analyze, and report about programmatic activity for all stakeholders.
  • Support the transformation of programs’ data collection methods and tools to track, learn about, and connect all artists in the community.
  • Support the management of alumni programs including artist funding, incubation and presentation, and artist sustainability.
  • Respond as needed to general inquiries from applicants for YoungArts Competition, YoungArts generated open call artistic opportunities, and YoungArts Post Zen Desk requests.
  • Support the YoungArts Week Exhibition.
  • Collaborate with programs to research the artist community, highlight artists who are ready for opportunities, and support the tracking of their activities.
  • Establish and maintain positive working relationships and present a positive image of the organization to the public, patrons, clients, and artists.
  • Adhere to all safety and security policies of the organization including those pertaining to physical safety and practices.
  • Report any potential or actual violations to security and People Operations as appropriate.
