About The Position

The Program Coordinator for Continuing Education and Lifelong Learning provides administrative support and project management for adult learners progressing through cohort, corporate partner, and continuing education programs. The Coordinator role focuses on the unique needs and complex circumstances of adult learners, often serving adult learners, career changers, and professionals who need to develop or update their skills.

Requirements

  • Knowledge of university academic policies, standards, and admissions procedures.
  • Excellent interpersonal and communication skills, with the ability to listen effectively and clearly convey information.
  • Ability to work collaboratively with faculty, administrators, and other student services staff to ensure a comprehensive and supportive learner experience.
  • Proficient with student information systems and other education technology.
  • Strong organizational skills, empathy, patience, and a commitment to continuous learning.
  • Knowledge of administrative software systems (Word, Excel, PowerPoint, Teams, Internal Learning Management and Student Information Systems.).
  • Skilled in administrative functions in Canvas.
  • Three years of experience in student advising, student services, enrollment management or related higher education experience.

  • Experience working with adult learners preferred.
  • Experience with instructional design a plus.

Responsibilities

  • Works closely with our Continuing Education and Lifelong Learning (CELL) partners and various Webster University departments to coordinate admission, course rotation and scheduling, orientation, grade submission, student attendance, billing, etc. CELL partners include Corporate Partnerships, Cohort Partnerships and continuing education program participants.
  • Guide students through the registration process, including course selection, add/drop procedures, and any other enrollment related processes. Registration includes credit-based courses and non-credit courses.
  • Collaborate with Enrollment Coach/Admissions to coordinate the student application/admissions process and to confirm eligibility with corporate partners.
  • In collaboration with the Director, develop and conduct workshops or informational sessions on topics such as academic planning, career readiness, and new student orientations.
  • Participate in recruitment events for CELL.
  • Responsible for managing all areas of academic operations for Corporate Cohorts.
  • Assist the Director with creating and maintaining a shared database of Corporate Cohorts.
  • In collaboration with the Director and academic partners, develop and implement initiatives to enhance student success that may include orientation sessions and intentional communication plans to help support students.
  • Assist the Director with ongoing cohort enrollment numbers and projections for the upcoming academic year and with determining number of cohorts and schedule.
  • Assist the Director in creating and implementing term-to-term cohort invoicing to Bursar’s Office/Finance Department and external corporate learning directors.
  • Provide attendance updates and end of term class lists for additional billing/invoicing verification.
  • Provide pre-term welcome and course-related information to faculty. Information includes class rosters, cohort procedures, cohort orientation, and course information.
  • Provide responsive, on-going faculty support throughout each term.
  • Responsible for managing all areas of academic operations for CELL, including training programs, lifelong learning events, community education programming, etc.
  • Communicate with enrollees for all CELL programs as needed.
  • Schedule locations/dates for CELL programming.
  • Assist the Director with invoicing to Bursars Office/Finance Department/external business partners and individual enrollees.
  • Assist with program surveys and data collection.
  • Provide pre-term welcome and course-related information to faculty. Information includes class rosters, procedures, and course information.
  • Provide responsive, on-going faculty support throughout each term.
  • Participate in taskforces and committees at the university as needed.
  • Attend and participate in graduate academic advisor meetings.
  • Other duties as assigned.
