About The Position

Visit Seattle is a private, non-profit destination marketing organization (DMO) serving Seattle and King County, focused on responsibly growing the visitor economy for the benefit of the community. The Conventions Coordinator will join the Conventions Team to support sales managers by handling administrative, clerical, and organizational tasks. The role requires flexibility and adaptability to support all channels of convention-related work as needs shift.

Requirements

  • 1-2 years of relevant administrative experience required.
  • Consistently positive, “can-do” attitude and professional demeanor.
  • Ability to be flexible, nimble and display incredible adaptability to changing needs.
  • Strong service approach and shows finesse with both internal and external customers.
  • Able to work efficiently and accurately with minimal supervision.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to multi-task and maintain organization.
  • Proficient in Microsoft applications, particularly Word, Excel, and Outlook.
  • Must be able to speak, read, write, and understand English.

Nice To Haves

  • Hospitality experience preferred.

Responsibilities

  • Provide administrative conventions sales support for sales managers to include organizing, typing, copying, collating and filing materials.
  • Preparation of correspondence and reports as directed by sales managers.
  • Assist sales managers with trade shows, familiarization visits and special events.
  • Coordinate appointments and itineraries for site inspections, planning visits and other schedules.
  • Provide account research and generate qualified prospect lists for sales managers.
  • Manage room block commitment responses and prepare bids.
  • Enter, process, and distribute leads in Visit Seattle’s CRM.
  • Refine space holds in the Convention Center’s CRM.
  • Record various expenses incurred.
  • Assemble and deliver customer gifts.
  • Support other Directors and Managers, manage processes and special projects.
  • Contribute to a positive, productive, safe, respectful, professional work environment and culture.
  • Other duties as assigned.
