About The Position

Omni Viking Lakes Hotel is seeking a Convention Services Manager. The Convention Services Manager is responsible for successful planning, coordination, and execution of group events—such as corporate meetings, sports, and association conferences. This position partners closely with the Sales, Catering, Banquets, Culinary, and Operations teams to ensure exceptional service delivery throughout the event lifecycle, in accordance with Omni Hotels & Resorts standards and the Power of One philosophy. The CSM acts as the primary liaison for meeting planners after turnover and serves as the property’s ambassador for Omni’s legendary hospitality, ensuring that every detail reflects the brand’s commitment to excellence.

Requirements

  • Minimum 3–5 years of progressive experience as a Conference or Convention Services Manager in an upscale or luxury hotel environment; Omni experience preferred.
  • Bachelor’s degree in hospitality management, Event Management, or related field preferred.
  • Proven success managing complex, multi-day group events and high-profile clients.
  • Advanced proficiency in Delphi.FDC, Microsoft Office Suite, and standard hotel systems.
  • Exceptional communication, organization, and client-relations skills.
  • Demonstrated ability to analyze data, forecast revenues, and drive profitability.
  • Comprehensive knowledge of banquet service standards, culinary terminology, and meeting room setups.
  • Professional demeanor with a passion for delivering Omni’s Power of One service.
  • Flexibility to work extended hours, weekends, and holidays based on event schedules.

Nice To Haves

  • Certified Professional Catering & Events (CPCE) Certified Meeting Professional (CMP) or Certified Hospitality Sales Professional (CHSP) designation.
  • Previous Experience with Delphi.FDC, Opera Cloud, Cvent, and/or Social Tables software preferred but not required.
  • Knowledge of Omni Trilogy culture standards, Meeting Planner loyalty programs, and Omni event brand initiatives.

Responsibilities

  • Plan, organize, and manage all details of assigned group events, including food & beverage, audiovisual, meeting space setup, guestrooms, billing, transportation, and décor.
  • Prepare and distribute detailed group resumes and Banquet Event Orders (BEOs) ensuring all operating departments are fully informed.
  • Collaborate with the Culinary Team to design creative, customized menus that meet client objectives while driving incremental F&B revenue.
  • Verify contracted function space and ensure setup compliance with Omni brand standards, fire codes, and safety regulations.
  • Oversee group room blocks, attrition, and cutoff management in coordination with the Revenue Management and Reservations teams.
  • Partner with Event Technology, Banquets, and Housekeeping to ensure seamless execution of all conference planning and coordination.
  • Serve as the main point of contact for meeting planners from turnover through event conclusion.
  • Conduct pre-conference and post-conference meetings to review details, resolve issues, and strengthen partnerships.
  • Proactively identify, upsell enhancements such as specialty décor, premium culinary experiences, or Omni Live event technology options.
  • Provide on-site presence during major events to ensure flawless execution and timely communication.
  • Maintain initiative-taking, solution-oriented communication and uphold Omni’s commitment to intuitive, personalized service.
  • Accurately forecast food & beverage and group revenue on a monthly and annual basis.
  • Prepare master account estimates and manage billing accuracy in accordance with Omni accounting procedures.
  • Assist the Director of Convention Services in departmental budgeting, forecasting, and performance tracking when required.
  • Lead or attend all required meetings including - Daily Stand-Up, BEO Review, Forecast/Business Review, and Departmental Meetings.
  • Uphold all Omni financial controls, contract terms, and operational guidelines.
  • Serve as property leader during large events, ensuring teamwork, communication, and problem resolution across departments.
  • Contribute to the Trilogy Service Culture by modeling positive leadership, accountability, and Omni values.
  • Participate in recruiting, onboarding, and professional development within the department.
  • Incorporate current trends in event design, sustainable meeting practices, and event technology that aligns with Omni’s brand positioning.
  • Maintain all event data and documentation accurately in Delphi.FDC or designated Omni systems.
  • Ensure all events comply with Omni service standards, state liquor laws, and fire safety regulations.
  • Continuously seeking opportunities to improve service quality, efficiency, and guest satisfaction scores.
