About The Position

The Convention Services Manager CSM) serves as the primary liaison between the hotel and group meeting planners once an event is contracted. This role is responsible for the detailed planning, coordination, and execution of all group meetings and events to ensure a seamless experience that exceeds client expectations. The CSM works closely with Sales, Banquets, Culinary, A/V, Front Office, Engineering, and external vendors to deliver exceptional service while upholding Magnolia Houston's brand standards and financial objectives.

Requirements

  • Minimum 2-3 years of experience in convention services, event planning, or a similar role within a hotel environment.
  • Strong organizational, time-management, and multitasking skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in hotel systems preferred, including Marriott's CITY and LightSpeed.
  • Solid understanding of banquet operations, catering services, and A/V coordination.
  • Four-year degree in Hospitality Management, Event Management, or related field preferred.
  • Ability to worl< a flexible schedule, including evenings, weekends, and holidays based on business demands.

Responsibilities

  • Establish and maintain strong, professional relationships with meeting planners and group contacts.
  • Review group contracts in coordination with Sales to ensure accurate execution of contracted terms, concessions, minimums, and billing requirements.
  • Manage all event planning timelines, including BEO deadlines, guarantees, cut-off dates, and approved changes.
  • Prepare, distribute, and maintain accurate and detailed Banquet Event Orders BEOs) and event resumes for all operational departments.
  • Maintain close and ongoing communication with clients to confirm event details including room set-ups, attendance numbers, meeting space needs, meal functions, timing, and special requests.
  • Proactively sell and recommend special amenities, upgrades, and enhancements to elevate the guest and planner experience.
  • Conduct pre-event, on-site, and post-event meetings with clients to ensure expectations are met and satisfaction is achieved.
  • Communicate clearly and effectively with all hotel departments to ensure flawless execution and operational readiness.
  • Lead or participate in weekly BEO and event planning meetings with Operations, Banquets, and Culinary teams.
  • Conduct site inspections and in-house tours of meeting and event space for prospective and confirmed clients.
  • Monitor event billing, review final invoices, and promptly resolve any discrepancies.
  • Assist with post-event reconciliation and support accurate forecasting of group event revenues as needed.
  • Review guest and planner feedback through ESS and other platforms to identify opportunities for improvement and ensure continual guest satisfaction.
