About The Position

A Contract Personnel Assistant is required to provide Naval Health Clinic Hawaii administrative support services to include daily on-boarding and out-boarding coordination in support of the NHCH Contracting Department and assist with information requests from various departments, branch health clinics and annexes.

Requirements

  • Must have a high school diploma or equivalent and a minimum of one year of general office experience, and a minimum of six months' experience with Microsoft Office and database automation software functions.
  • Shall read, write, speak, and understand the English language fluently and maintain good communication skills with patients and other health care personnel.
  • Shall be in good standing and under no sanction or suspension by the Federal Government.
  • Shall possess and maintain current certification in American Heart Association Basic Life Support (BLS) for healthcare Providers

Responsibilities

  • Perform daily on-boarding and out-boarding coordination in support of the NHCH Contracting Department.
  • Assist with information requests from various departments, branch health clinics and annexes.
  • Provide daily assistance with creating and maintaining contract administrative folders in accordance with Navy Medicine Standard Operating Procedures (SOP) for contract file management.
  • Provide clerical support to include appropriate contract related correspondence and other periodic contract related records upkeep and management.
  • Prepare and maintain a contractor alpha roster to include names of contractors, the contractor's assigned department, contractor vacancies, and other required information.
  • Create, file and maintain necessary documentation required to initiate the Common Access Card (CAC) issuance, process vehicle registration forms, and other forms required for new and departing contractors.
  • Collect, compile, and review the Master Credential Package (Occupational Health Forms, Security Forms, and Technical Forms) on a daily basis and send to appropriate departments for processing.
  • Provide support as administrative liaison for newly appointed contractors, prepare a new contract employee's welcome package, and escort newly appointed contractors during the Contracting Department's check-in process until they report to the assigned department.
  • Assist with maps, directions, and follow-up on personnel actions, as required.
  • Assist the Contracting Department with preparations for Contracting Officer's Representative course hosted by Naval Health Clinic Hawaii.
  • Attend all mandatory training such as monthly process improvement meetings, monthly stand-downs, annual IT systems upgrade training, and command Annual Training.
