This job supports the end-to-end contract lifecycle by coordinating contract intake, routing, execution, and record-keeping. Ensures contract data is accurately entered into management systems, monitors deadlines and renewals, and collaborates with legal, procurement, and business teams to facilitate timely processing and compliance. Requirements

  • High School Diploma Required
  • 2 years of legal operations, document management, general administration, or similar
  • Strong analytical and problem-solving skills with a strong attention to detail and ability to maintain accurate records and data.
  • Highly effective verbal and written communication skills with the ability to coordinate and communicate with stakeholders to ensure contract workflow completion.
  • Ability to manage competing priorities and track multiple contracts and deadlines in a fast-paced environment under minimal supervision.
  • Skilled at gathering information and analyzing problems to identify underlying issues, consistently demonstrating sound judgment and the highest level of integrity.
  • Familiarity with contract administration (particularly contract lifecycle management systems), document management, and/or legal operations.
  • Proficiency in Outlook, Microsoft Word, moderate-level Microsoft Excel, PowerPoint, Adobe, and other software/web-based applications.
  • Ability to identify inefficiencies and support improvement in contract processes.
  • Strong interpersonal and team-building skills.
  • Ability to facilitate meetings and conduct training and other presentations to large groups.

Nice To Haves

  • Associate’s or Bachelor’s Degree in Business Administration, Legal Studies, Healthcare Administration, or related field.
  • 3+ years of contract administration/management for large organization in any industry.
  • Paralegal, Certified Contract & Commercial Management (CCCM), or Contract Management Certification, training or certification in Symplr or other similar contract management system.

Responsibilities

  • Coordinate the intake, review, routing, and execution of contracts in alignment with organizational policies and procedures
  • Manage contract workflows using contract lifecycle management (CLM) systems or other tools to track status and maintain visibility
  • Monitor and track high volumes of contracts to ensure timely processing and adherence to deadlines
  • Serve as a primary point of contact for internal stakeholders and outside vendors to facilitate workflow and ensure timely contract execution
  • Ensure executed contracts are properly stored, categorized, and maintained in a centralized repository and establish and enforce document control protocols to safeguard confidentiality and regulatory compliance
  • Maintain accurate and complete records in the contract management system and preparing reports for internal use
  • Prepare and analyze reports for internal use, synthesizing contract data to inform business decisions and support strategic planning
  • Develop, manage, and/or oversee audits and reporting requirements related to contract documentation
  • Provide training and facilitate meetings for large groups, developing educational materials and leading sessions to improve contract management practices across the organization
  • Participate in special projects and providing administrative support for process improvements or system enhancements
  • Performs other duties as assigned
