About The Position

ElkStone is changing the way people think about construction, focusing on quality, integrity, and long-term relationships. Based in Colorado, they specialize in residential basement finishing and custom design-build projects, including remodel work. ElkStone is growing and is looking for a reliable, organized, and people-focused Construction Operations Assistant for their New Markets Division. In this role, the assistant will support projects from contract to completion by handling job setup, permitting, invoicing, customer communication, and day-to-day coordination across teams. This opportunity is ideal for someone who enjoys variety, is detail-oriented, and likes solving problems, thriving in a fast-paced environment with clear communication, ownership, professionalism, and teamwork. The role involves working closely with Project Managers, Sales, leadership, field teams, vendors, and customers to ensure smooth project progression.

Requirements

  • 2+ years of experience in customer service, administration, or operations in a fast-paced environment.
  • Excellent verbal and written communication skills with a professional, warm phone presence.
  • Strong attention to detail, organizational skills, and the ability to manage multiple tasks simultaneously.
  • Comfortable learning new systems and processes and using internal resources to solve problems.
  • A collaborative team player who takes ownership, follows through, and supports others.
  • High computer literacy, especially with web-based systems.
  • Exceptional soft skills, including clear communication, active listening, organization, adaptability, punctuality, attention to detail, and self-motivation.

Nice To Haves

  • Construction or remodeling experience.
  • Ability to read and interpret construction drawings and design documents, with general construction knowledge (how residential structures are built).

Responsibilities

  • Help process new contracts and keep job records accurate and organized.
  • Prepare project documentation and maintain job folders.
  • Submit, track, and pay for construction permits.
  • Keep contractor licenses up to date and monitor regulatory changes.
  • Support engineer letters and 811 request tracking.
  • Assist Project Managers with calendar updates, sub changes, change orders, final invoices, and office support.
  • Communicate with internal teams, subcontractors, and vendors to resolve work order and invoice issues.
  • Run budget reports and pricing analysis for management.
  • Collect and track subcontractor paperwork, including insurance certificates.
  • Help with invoicing questions, payment links, and troubleshooting.
  • Maintain clear documentation of project activity and follow-through.
  • Support customer communication and help escalate concerns when needed.
  • Contribute ideas that help improve processes and team efficiency.
  • Pitch in on other admin tasks and support basic operations and sales functions as needed.
  • Schedule and track internal team meetings.
  • Cross-train in basic operations functions to provide coverage and support across the team.
