About The Position

As Conference Services Manager you will detail group guest rooms, meeting space and catering needs. Acts as the point person and liaison between client and various departments of the hotel. Ensures guestroom and banquet minimums are adhered to as well as budgets are met.

Requirements

  • Minimum of two years of experience in sales/catering in a management position.
  • Must have the ability to solicit, qualify and secure business in addition to growing existing accounts.
  • Thorough knowledge of major market segments.
  • Ability to identify market patterns and trends and lead change as needed to protect customer share.
  • Self-motivated positive role model.
  • Liaise with vendors and suppliers.
  • Schedule flexibility and ability to travel.
  • Excellent presentation, communication, organization and computer skills.
  • Experience in Opera, Delphi, Microsoft Word, Excel, Outlook, PowerPoint, HTML and Photoshop.
  • Keeps up with the latest on-line technologies and trends.
  • Pro-active with a ‘can do’ positive attitude.
  • Likes to be busy, always looking for the next task or goal to achieve.

Responsibilities

  • Attends all mandatory meetings and training classes.
  • Participates in BEO daily meetings.
  • Participates in weekly group pick up meetings.
  • Follows up on rooming list and deposit deadlines as outlined in contract and processing.
  • Manage guest room reservation request, changes, and billing.
  • Works closely with Banquets, Kitchen, Front Office, Housekeeping, Accounting and AudioVisual Departments to ensure guest requirements are met.
  • Prepares Group Resume and communicates at weekly staff meeting.
  • Conducts preconvention meetings with the client and hotel staff as needed.
  • Ensures attrition, food and beverage minimums and meeting room rental charges are met.
  • Assists client with menu selections for each event.
  • Upsells menus and upcharges other services (i.e., transportation, flowers, music, etc.).
  • Identifies group VIPs – requests appropriate room upgrades and amenities.
  • Consistently follows up to ensure guest satisfaction that meets and exceeds our service standards.
  • Responsible for forecasting banquet revenues on a weekly basis.
  • Develops and maintains relationships with key clients to produce repeat group and/or conference business, to include room sales, food & beverage sales, catering/banquet services, meeting room rental.
  • Ensures Banquet Event Orders are created for each function.
  • Participates in daily morning standup meetings – communicates any in-house group issues.
  • Ensures actual sales meet or exceed established revenue plan and to accurately report variances/projections.
  • Communicates effectively and genuinely with guests, team members and other departments.
  • Consistently follows up to ensure guest satisfaction that meet and exceed our service standard.
  • Willingness to learn and adapt to a dynamic environment.
  • Ability to work under pressure in a fast-paced environment, having conflict solution skills.
  • Conducts one-self in a professional, pleasant and energetic manner.
