About The Position

The Conference Services Manager serves as the liaison between the group contact and the hotel operations team to ensure a smooth and successful event for the client. You will be responsible for maintaining room blocks, catering details, audio visual and setup requirements. The ideal candidate for Conference Services Manager will have a professional demeanor, superb organization skills, experience in customer service and hotel sales and catering.

Requirements

  • Professional Demeanor
  • Degree in Hospitality, Event Management or related field
  • 3-5 years’ Experience in hospitality, event management, preferably in a High Volume Hotel Setting
  • Technical proficiency in event management software such as Delphi and Social Tables
  • Extremely Detail Oriented and Organized
  • Ability to thrive in a high-pressure, fast-paced environment with shifting priorities
  • Clear, Concise Written and Verbal Communication Skills
  • A proactive approach to identifying potential logistical bottlenecks before they impact the guest experience.
  • Strong Customer Service Orientation and Skills
  • Exceptional Detail in Follow Through
  • Ability to Multi- Task, Prioritize and Superb Time Management Skills
  • Although typically a standard work week, this role sometimes may require some flexible hours, including some early mornings, possible evenings and weekends

Responsibilities

  • Lead planning meetings with clients to finalize all event logistics, including room setups, food and beverage specifications, and specialized technical requirements.
  • Author and distribute comprehensive Banquet Event Orders (BEOs) and group resumes to ensure all departments (Culinary, Housekeeping, Front Office) are aligned on execution.
  • Act as the main point of contact during live events, managing vendor arrivals, troubleshooting real-time issues, and overseeing the transition between event phases.
  • Monitor event budgets, track upsell opportunities, and perform a meticulous review of final billing for accuracy before client submission.
  • Source and manage external partners for décor, entertainment, and specialized AV to ensure all third-party services meet brand standards.
