Job Overview:The Conference Service Manager will lead the seasonal planning team, manage event logistics, and ensure accurate financial processing for all campus-based summer camps and conferences. With a consistent workload throughout the year and a seasonal spike from April to July, this role offers both structure and variety, along with the autonomy to implement your strengths into daily operations.

Requirements

  • An Associate's degree in a related field and/or appropriate combination of education and experience to support on-the-job effectiveness.
  • Minimum of one year of experience in event planning or event sales.
  • Experience supervising, mentoring, or leading teams, preferably in an event planning or campus-based environment.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
  • Sales or client service experience with a focus on relationship-building and customer satisfaction.
  • Working knowledge of Generally Accepted Accounting Principles (GAAP) and experience with financial processes such as invoicing, pre-payments, and budget tracking.
  • Ability to communicate effectively both orally and in writing.
  • Able to work effectively and safely while subject to wet floors, temperature extremes and excessive noise; must be able to lift up to 50 pounds in weight; must be able to maneuver in an often tightly-quartered environment.
  • Hours may be extended or irregular to include nights, weekends and holidays.

Responsibilities

  • Recruit, hire, train, manage, and evaluate a seasonal staff.
  • Manager staff schedules, payroll entries, and event calendars.
  • Process event confirmations, event pre-payments, and most importantly, provide accurate and timely invoices to clients post-event.
  • Support off-season goals and opportunities to book and manage events on campus.
  • Lead bi-weekly virtual planning and briefing meetings (via Zoom or Microsoft Teams).
