About The Position

The Conference Coordinator plays a vital role in delivering Rapport’s signature hospitality experience by supporting the seamless execution of conferences, meetings, and special events. This position partners closely with clients and internal operational teams to anticipate needs, coordinate logistics, and deliver personalized service that consistently exceeds expectations. The Conference Coordinator serves as a trusted resource, ensuring every interaction reflects Rapport’s commitment to excellence, professionalism, and thoughtful service.

Responsibilities

  • Coordinate all logistical aspects of conferences, meetings, and special events, ensuring accuracy, timeliness, and alignment with client expectations.
  • Serve as a primary point of contact for clients, providing clear communication, personalized solutions, and proactive support throughout the event lifecycle.
  • Manage event requests using the Event Management System (EMS), ensuring all details are accurately entered, updated, and executed.
  • Collaborate with cross-functional partners including reception, catering, audiovisual, security, facilities, and building management to deliver a seamless event experience.
  • Monitor schedules, dashboards, and service requests throughout assigned coverage periods to ensure responsiveness and service continuity.
  • Provide on-site support as needed, including room readiness checks, client greetings, and resolution of last-minute changes.
  • Ensure all services are delivered in accordance with Rapport and client-specific standards, safety protocols, and operational procedures.
  • Maintain detailed and accurate documentation of event requirements, changes, and post-event follow-ups.
  • Support team coverage through scheduled rotations and assist colleagues during high-volume periods.
  • Contribute to continuous improvement initiatives by sharing feedback, best practices, and ideas to enhance service delivery.
  • Deliver a warm, polished, and consistent hospitality experience aligned with Rapport’s service culture.
  • Anticipate client needs and proactively identify opportunities to elevate the event experience.
  • Address client concerns promptly and professionally, escalating issues as appropriate to ensure timely resolution.
  • Act as a brand ambassador, representing Rapport and Compass Group values in all interactions.
