About The Position

The concierge/receptionist performs a variety of administrative support duties including greeting all visitors to the community, answering the telephone, transferring calls to appropriate parties, and taking accurate messages. This role involves monitoring security systems such as walkie-talkies, door security systems, and fire panels, as well as resident sign-in/out logs and visitor registration logs. The concierge also completes administrative tasks like filing and making copies, handles service request forms, maintains the cleanliness of the front desk and lobby, sells meal tickets, and ensures the overall security of the building by periodically checking entrances and exits. Additionally, the position requires attending in-services and staff meetings, assisting with coordinating van schedules for residents, adhering to confidentiality policies, and performing other supportive office functions for various departments.

Requirements

  • Must possess a high school diploma or GED
  • Must be considerate, neat, well groomed and professional in appearance
  • Must dress in a professional manner
  • Must have experience in Administration functions
  • Must answer phones in a polite and professional manner
  • Must be organized, and able to work well with others as part of a team
  • Must be polite and considerate to residents, visitors, co-workers and management team
  • Must be able to effectively communicate both verbally and in writing
  • Must be able to sit for extended periods of time
  • Must be able to function effectively in a busy environment and be able to multi-task
  • Must be willing to work a flexible schedule that includes weekends and holidays
  • Must attend all required in-services and staff meetings

Responsibilities

  • Greeting all visitors to the community

  • Monitoring resident sign-in and sign-out log
  • Monitoring the visitor registration log
  • Completing administrative support functions such as filing and making copies
  • Transferring calls or taking messages as appropriate in a courteous, friendly and helpful manner
  • Filling out and logging service request forms for residents and/or staff
  • Monitoring and greeting visitors to the community
  • Keeping front desk and lobby area clean and neat at all times
  • Selling meal tickets and accounting for by payroll deduction or personal check
  • Ensuring the security of the building
  • Periodically checking entrances/exits of the building to ensure community is secure
  • Attending in-services and staff meetings as required
  • Assisting with coordinating van schedule for residents
  • Following confidentiality policies regarding release of resident information
  • Performing supportive office functions for all departments including filing, typing, and making copies
  • Completing all other duties as assigned
