About The Position

This position is in-person only and located in Clifton Park, NY. This is not a remote or hybrid position. Position Summary: The Compliance Support Specialist provides operational and administrative support to the Compliance Department to ensure adherence to federal and state regulatory requirements, including HIPAA, CMS, and healthcare compliance standards. This role assists with regulatory reporting, compliance investigations, provider documentation monitoring, audit coordination, and regulatory communications. The position works closely with the Manager of Compliance, Quality Department, providers, and operational leadership to support compliance initiatives, maintain regulatory documentation, and ensure timely response to regulatory and legal requests.

Requirements

  • Associate’s or Bachelor’s degree in Healthcare Administration, Health Information Management, Business Administration, or related field preferred.
  • 2–4 years of healthcare administrative, compliance, medical records, or regulatory support experience preferred.
  • Basic understanding of healthcare compliance, HIPAA regulations, and medical documentation standards.
  • Strong organizational and administrative skills with attention to detail.
  • Ability to handle confidential and sensitive information with discretion.
  • Excellent written and verbal communication skills.
  • Strong time management and ability to manage multiple priorities and deadlines.
  • Proficiency in Microsoft Office and electronic medical record systems.

  • Experience in a physician practice, healthcare compliance department, or medical office strongly preferred.

Responsibilities

  • Assist with the investigation and documentation of compliance-related incidents across the practice.
  • Monitor and manage the Compliance email inbox, hotline messages, and compliance task queues, ensuring appropriate routing and follow-up.
  • Support the tracking and documentation of all compliance cases, investigations, and outcomes.
  • Maintain internal compliance logs, tracking tools, and regulatory reporting documentation.
  • Prepare and coordinate certified mailing of compliance-related patient communications including: Discharge Letters Transfer of Care Letters HIPAA Breach Notification Letters
  • Assist with the creation, revision, and administration of patient Behavioral Agreements.
  • Maintain records of all compliance-related patient correspondence and ensure proper documentation.
  • Assist with provider documentation monitoring and compliance audits including: Weekly provider inbox summary reports Provider chart completion tracking Focus audits for new providers and providers requiring compliance monitoring Peer review audit preparation and data collection
  • Compile documentation and reports used for compliance monitoring and provider feedback.
  • Assist with tracking unfinished charting and visit status reporting.
  • Assist with gathering and submitting documentation for regulatory and legal requests including: CMS certification requests RAC (Recovery Audit Contractor) documentation requests Medical record requests for legal matters
  • Track deadlines and maintain logs for regulatory submissions and findings.
  • Support coordination of deposition scheduling and legal documentation requests.
  • Provide administrative support for Compliance Committee and Safety Committee meetings including: Preparing agendas and materials Recording meeting minutes Tracking action items and follow-up
  • Assist in preparation of compliance reports and presentations for leadership.
  • Assist with onboarding education materials for new providers regarding compliance and documentation expectations.
  • Maintain provider education resources including compliance tip sheets and documentation guidance.
  • Support tracking of Ongoing Professional Practice Evaluations (OPPE) documentation as directed.
  • Assist with tracking and documentation related to safety initiatives and compliance inspections.
  • Maintain AED equipment logs, user tracking, and supply documentation.
  • Support annual safety and risk inspection documentation.
  • Assist in planning and coordination of Compliance Week activities and educational initiatives across the practice.
  • Support maintenance and organization of compliance policies and regulatory documents.
  • Maintain provider location and privileges tracking lists.
