Job Summary This position reports directly to the Chief Compliance Officer and provides operational, administrative, and organizational support to the Compliance function. The role is focused on execution, tracking, documentation, and follow-through, helping ensure Compliance leadership has accurate information, well-documented meetings, and timely visibility into spending, training, and other key activities. This role supports the Chief Compliance Officer and Compliance leadership by maintaining structure, organization, and consistency across Compliance operations.

Requirements

  • Bachelor’s degree or equivalent professional experience.
  • 5–8 years of experience providing administrative, operational, or program support, preferably in a regulated environment.
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities, track deliverables, and ensure follow-through.
  • Experience preparing structured meeting materials, capturing clear documentation, and producing executive-ready written communications.
  • Comfort working with budgets, invoices, spreadsheets, and basic financial reporting.
  • Sound judgment, professionalism, and discretion when handling sensitive information and supporting senior leadership.
  • Proficiency with core business tools (Excel, Word, PowerPoint) and familiarity with AI productivity tools, including Microsoft Copilot and ChatGPT, with the ability to use them responsibly and in accordance with data governance standards.

Nice To Haves

  • Experience working in a bank or other highly regulated financial institution.
  • Exposure to compliance, risk management, audit, or governance functions.
  • Advanced Excel skills (e.g., structured reporting, data organization, summary dashboards).
  • Demonstrated ability to thoughtfully integrate AI tools into workflows to improve efficiency while maintaining regulatory and confidentiality requirements.

Responsibilities

  • Support Compliance team operations, including staffing coordination, onboarding support, organizational updates, and headcount reporting.
  • Manage and monitor Compliance-related spending, including invoices, conferences, certifications, and professional services; assist with budget tracking and basic variance analysis.
  • Administer and monitor Compliance training programs for employees and Board members, including onboarding, annual certifications, and targeted assignments; track completion and prepare executive-ready summary reporting.
  • Leverage productivity and AI-enabled tools (including Microsoft Copilot and ChatGPT, where appropriate and permitted) to enhance organization, reporting, drafting, and workflow efficiency while maintaining strict confidentiality and data protection standards.
  • Serve as a trusted administrative and operational support to the Chief Compliance Officer (CCO), managing scheduling, priorities, meeting preparation, and follow-through on key initiatives.
  • As needed, prepare structured agendas and decision-oriented meeting materials; capture accurate meeting notes and proactively track action items across Compliance leadership, governance forums, and related committees.
  • Coordinate logistics and materials for Compliance meetings, team events, and offsites, ensuring efficient and professional execution.
  • Perform additional administrative and operational responsibilities as assigned by the Chief Compliance Officer.
